Process and track all new hire paperwork, responsible for receiving all completed paperwork from new hires and updating each employee file with a checklist so the employee file has all completed new hire paperwork so the files are in compliance with SOX.

Process expense reports, timesheets for the Senior Vice President of Global Recruiting/Staff Augmentation.

Book hotels/flights for candidates coming to our corporate office for interviews.

Process and screen references for new hires.

Post ads in newspapers for open positions in conjunction with our advertising liaison.

Review invoices for National Student Clearing House and ESR to make sure all orders are complete and accurate.

Set up orientation’s for new hires.

Handle confidential material relevant to company operations such as ordering and processing background checks, credit checks and drug tests & motor vehicle reports for domestic new hires.

Maintain a professional relationship with all new hires and answer any questions they have in regards to completing the paperwork. Constant follow up via email and phone.

Verify all educational credentials, certificates, memberships, professional organization’s & licenses for new hires.

Conduct drug testing screenings and run all Motor Vehicles checks for all new hires

Manage and maintain various reports on a weekly basis. Established the Offer letter Report, Activity Report, Open Requisition Report, Final Number Report, Staff Augmentation Contact list and Criminal Background & H1-B Visa reports. Keep all reports current on a weekly basis.

Send 6 month reminder email to start the process of renewing their Visa to employees who’s Visa is going to expire.

Interface with all staff augmentation clients and staff. Staff Augmentation consists of the following: Merck, New York Power Authority, Works In Progress & SCA & Liro/Hill.

Reconcile expense reports, invoicing & collections for the Staff Augmentation clients. Contact clients for unpaid invoices.

Process invoices for SCA each month for accounts payable.

Process invoices for Merck each month for accounts payable.

Process invoices for New York Power Authority each month for accounts payable. Process invoices for Works In Progress each month for accounts payable.

Process invoices for Liro/Hirani each month for accounts payable.

Process Claims invoices each month for accounts payable.

Maintain updated client (Staff Augmentation- Merck contract, SCA Contracts) files and have contracts and RFP’s notarized for payment.

Process and submit RFP’s for SCA and track payment received for all invoices.

Approve all Merck & SCA employee timesheets/expense reports on a weekly basis.

Use excellent interpersonal skills; communicate with various levels of management through the company.

Provides liaison between clients and other staff employees with the Immigration attorney Dev Kayal.

Process all H-1B, I-129, Green Card and TN Visa’s, Business and Employment Visas for new and existing employees.

Process Visa’s (Business & Employment Visas) for Saudi Arabia, Brazil, Azerbaijan, Egypt and any other country we have an employee to work at.

Process authentications for degrees, marriage & birth certificates for employees through DC or NY embassy.

Process invoices for A/P

Liaison for all employees

Liaison on behalf of the SVP of Global recruiting and Staff Augmentation

Assist in coordinating and communicating with managers, engineers, suppliers, contractors and subcontractors, and field staff
