JOB DESCRIPTION
Task
Responsibilities
Manage the despatch environment
Overseeing the accurate picking, packing and distribution activity in the desired timeframes
Maintain and release customer orders according to their requirements and pick plans.
Assign workloads to warehouse workers, evaluate the warehouse employee performance
Assist management in establishing warehouse standards and procedures
Maintain regular attendance
Ensuring that all orders are received and acted on in a timeous manner
Ensuring that orders are packed correctly by staff without error or omission and within the prescribed standards
Ensuring that the despatch equipment and software is used in the prescribed manner
Ensuring that all records are updated and all packages labelled correctly
Arranging for all packages to be delivered effectively and timeously in accordance with the client orders through the speed services post, courier services and company vehicle delivery
Planning staff resources ensuring that there are sufficient staff and necessary equipment during peak periods
Recommend operational changes if necessary in the interest of efficiency
Provide business performance reports and records
Stock Control
Planning, monitoring and reporting on stock levels
Keeping abreast of all peak periods to ensure adequate stock levels are in storage
Keeping stock control system up to date and planning future capacity requirement
Determining stock re-ordering levels on fast moving stock and slower selling items
Monitoring and reporting stock levels to Logistics and Operations Manager
Utilize space efficiently and effectively, exercise ad hoc movements to create space inbound stock
Manage Deliveries
Responsible for the delivery of orders utilising a number of services.
Liaising with Postal Service to arrange for collections and deliveries in accordance with service level agreement
Liaising with courier companies and agencies to collect and deliver consignments on time and in accordance with service level agreements
Organising deliveries and collections by utilising company drivers and company vehicles
Ensure that all scheduled deliveries are completed and POD’s are captured
Using de track system to plan and schedule routes for deliveries on a daily basis
Ensuring that the company vehicles are well maintained and kept in good working order
Ensuring that drivers act responsibly and take care of the vehicles in accordance with the company vehicle policies
Monitor tracking systems and routes taken by drivers in company vehicles and provide management reports
Customer Liaison
Responding to queries from customers
Providing customer feedback by email and / or telephone in a professional manner and within timeframes agreed
Overseeing Staff
Taking overall responsibility for staff and their wellbeing within the department
Training and developing staff
Identifying training needs
Motivating and encouraging staff to work in accordance with company policies and procedures
Reporting on staffing activities
Dealing with minor transgressions and disciplinary procedures
