PROFESSIONAL SUMMARY:

As I am eager to explore more areas in HR and thirst of knowledge, I challenged myself to do things else than recruitment so that I can sell myself in future. It is not only focusing on what I do but also the benefits that I got at the same time. Below are some of the tasks that I have been assigned to:

Onboarding

-Liaise with Dentsu Aegis Network IT person in regards to access card, parking card and laptop to be configured for our new joiners.

-Prepare an introduction pack of new joiners consist of their copy of employment contract, PDPA, NDA, name signage for their cubicle, access card, parking card and employee property form.

-Create a CakeHR account for new joiners where this is an effective online systems which each and every employee owned to identify how many leaves left, which team they are belong to, how they can apply leaves, who-is-who in the company.

Recruitment

-Posting a vacant positions through Indeed.

-Assist in making phone calls & arranging interviews.

-Send out rejection email to unsuccessful candidates.

-Assist to carry out interviews for junior levels.

Training

-Conduct a research on types of training needed for the organization.

-Looking out for a potential training center to collaborate with our organization for a long term.

-Requesting quotations from several training centers and swapping opinions on how we can conduct a better training for the needed ones.

Arranging Townhall

-Preparing agenda for the townhall meeting and share it with the speakers and event planner.

-Liaise with the caterer to cater foods for the staffs.

-Book a room a week before an event.

-Prepare a checklist in order to ensure that everything is ready.

-Collaborate with IT department to equip the technical needs such as microphone, speaker, projector and projector clicker.

Liaising with suppliers

-Contacting and meeting suppliers to discuss on the items that the company plan to have such as pen with a company logo, tote bags, note book and calendar.

Other ad hoc tasks

-Assist to place an order for pantry supply such as coffee, biscuits and others.

-Assist to observe the contractors that coming in and going out to ensure that they will not be disturb during working hours should the contractor need to fix the aircond or to perform their duty at the same time in the same room.

Junior HR Specialist (Recruitment) at T-Systems Malaysia Sdn Bhd:

Joined T-Systems Malaysia as an intern and pursue my career as permanent staff when I was offered to become part of the team as Junior Recruiter. Took over everything bit by bit and taking little steps at a time does not stop me to learn more and more. Being persistent, thirst to learn and always ask for more is something that really push me towards being who I am now.

Document Collection

-Assisting the recruiters to collect documents from candidates who manage to pass the interview with T-Systems Malaysia Sdn Bhd (FTE/Intern/Contract);

-Checking all the document received and make sure they are completely meet the listing provided;

-Note down all the insufficient document as a reminder so that it can be follow up easily.

Reference Check

-Conducting background reference check based on the referees name provided in the staff particular form or CV’s;

-Enquire for referee’s detail from the candidate if they are not stated in the Staff Particular Form or in their CV’s;

-Ask the referee a set of questions related to the candidate;

-Send out the reference check form to the referee for them to fill it up and send it back to us for the recruiter’s perusal.

Special Project for Recruitment

-Involving in special project to recruit potential employees for Smart India which is for another branch of T-Systems in India specializing on Systems Integration. More than 25 positions are open and still have an on-going recruiting process take place.

Pre-Screen

-Assist the recruiters to pre-screen intern applicant that applied with T-Systems Malaysia Sdn Bhd;

-Sort out the applicants following the joining date and their fluency in speaking mostly by calling them and identify their ability to speak, answering questions, solving problems and handling situations;

-Hand over to recruiters for their perusal after I have finished pre-screen all the applicants for them to choose the best candidate for the department who requested for interns.

Sourcing

-Retrieve the candidate’s resume from the HR Suite and Jobstreet to be hand over to the recruiter and for the interview purpose for the Hiring Manager;

-Identify how many applicants for particular position with the request from the Hiring Manager;

-Moving the candidates into particular groups such as “Interview 1” or “Disqualified”.

Liaising with Agencies

-Contact the agencies to assist them on supplying a very good potential candidates to our organization;

Assisting the recruiter’s/management to clarify the main issues or problems with the vendors and come out with the solutions that can benefit each and one involved.

Liaising with Candidates

-Assisting the recruiter’s and act as a frontline to answer any enquiries or inform any matter requires;

-Replying e-mail related to recruitment or offer management and liaise professionally without breaking any confidential matters;

-Collecting passports from the candidates to be process for their visa renewal.

Liaising with Other Organizations

-Being in touch with universities, recruitment agencies and others for recruitment purposes as well as for branding importance.

Scheduling

-Assist to arrange any interview requested by the Hiring Manager or the recruiters following their availability;

-Make sure all the interview requested will be arrange within (3) business days;

-Re-schedule any interviews that have to be amend or have to be move forward due to any problem/difficulties face by the Hiring Manager/candidates.

-Checking the room availability to be book for the interview session;

-Assuring the interview will take place in a comfortable and convenient room e.g with projectors or with phone accommodation.

Updating Scheduling Report

-Each of the interview schedule in the FMB Calendar must be update in the scheduling report locate in the shared drive to keep track on the current and previous candidates also as the reference in future.

Tracker

-Update tracker for new joiners & “Smart India” project.

Issue Letter of Employment

-Assisting Offer Management to issue an offer letter for the new joiner;

-In touch with the new joiner to ask them to come and sign the offer letter;

-Assist to amend an offer letter for the new joiner if there is any changes of joining date, changes of designation and cost centre and etc;

-Make (2) copies for each of the candidate to be sign and filing.

Recruitment Template

-Create and amend recruitment template for the candidate as they will refer to that particular sheet regarding their reporting manager, joining date, cost centre and their email.

Job Advertisement

-Advertise available vacancy position in HR Suite with the job description taken from Jobstreet;

-Basically, both source functioning in the same way but with different information and navigation button.

Admin Assistant at Monash Star Venture (MSV):

Administration

-Provide letters for the official business matters;

-In contact with SSM for the license renewal and check up;

-Assist to retrieve information related to business matters from the cafeteria;

-Issue purchase order when requested.

Cheque

-Printing cheque to be issue to the employees for their salary monthly;

-Assist to write figures on cheque based on the information provided by the Payroll;

-Deliver cheques to vendors together with Purchase Order (P.O) weekly.

Liaising with vendors

-In contact with vendors regarding daily stocks needed to be top-up for daily operations;

-Make sure that the vendors send the correct items with the sufficient amounts;

-Assuring the costs and the amounts received are equal;

-Assist to look for potential vendors if the company almost finish their contract with the current vendors.

Supervising

-Assist to supervise the employees in the café;

-As a cashier at (3) cafés located in Kajang, Jabatan Perdana Menteri, Putrajaya & Hospital Serdang where I will rotate the place weekly;

-Supervising the employees and make sure they come on time;

-Make sure that all the daily tasks and routines runs smoothly without any problems;

-Deliver the profit of the business on every single particular day to the employer’s house;

-Assuring the sales increase and maintain the operations daily as it is.

Tender

-Assisting the organization to complete one big tender for the company in a day;

-Print out and fill up all the forms needed to complete the documents necessary;

-Putting up all the prices for the goods offered by the company with the information provided by the employer;

-Joined the registration and tender bidding.

Grading for Cleanliness by Jabatan Kesihatan Malaysia (JKM)

-Assisting in providing all the signage needed in all of branches before the check-up date;

-Assuring the cafés follow the rules and regulations as well as the procedures that has been stated on the wall;

-Supervise the employees in order to make sure that they wear and use all the safety equipment provided in the work place every day;

-Put the café in a very priority place where they must get a satisfy grade as it will help to attract more customers and convince them about our café’s cleanliness.

Others

-Assisting to make an appointments with panel clinic for new expatriate joiners for FOMEMA as they are the main kitchen crew;

-Assist to pay the company utilities bill weekly;

-Perform editing and creating necessary documents for the company’s perusal;

TEAM BUILDING SKILLS with T-SYSTEMS MALAYSIA SDN BHD (2016 & 2017)

Joined this team building event as an intern gave me a really good picture of what real working environment really looks like. It was really inspiring from bottom to the top as it thought me a lot about how Human Resource should function in a very positive way and believe in people engagement, cooperation and others. HR is very important to an organization as they are the “heart & soul” of the organization and this event really brought me to a clearer level of becoming good HR people.

HUMAN CAPITAL CLUB (2015)

Provide the club members with useful information and knowledge about what is human resource and how they fully function in an organization. Basically, they gave us thorough visual related to HR and give us depth understanding of the picture.
