Situation – Consulted for over a year in Forecasting and Analysis at AJFCS in West Palm Beach, FL, from 10/12 – 1/14. Over 100 skilled professionals provide dozens of service programs to strengthen families and individuals in the community. To help as many as possible and yet avoid financial problems, we forecasted and analyzed hours, revenue, expense, calls, clients, incidents, etc. and examined trends. I reported to the COO and CEO and supported all program managers, division directors, officers, and board members in these areas.

Action – Listened to many calls for help, visited several operations, and met many very skilled professionals in psychiatry, counseling, guardianship, care management, residential services, mentoring, companionship, etc. Prepared a graphical dashboard. Automated and integrated the program forecasting and analysis processes to see trends, fees, comparisons, rates, etc. of selected programs. Automated monthly income statement trend analysis to see trends in any line item of interest within seconds. Automated explanations of change for any organization and time period. Applied tree mapping to visualize the program portfolio more easily. Worked with several program teams, including the Performance and Quality Improvement Team. Attended board meetings.

Result – Trends for all of the above are viewed simply within a few seconds, forecasts are prepared fairly easily, signals are automatically analyzed, alerts are indicated, and communications are more graphical. Special information is provided on contributions and fundraising, calls (volumes, referral sources, services desired, and conversion rates) and clients are analyzed, signals are separated from noise, forecasts are adjusted for seasonality, and multiple sources of forecast information are used. The meaning and interpretation of monthly information is summarized for all involved. Already high performance and quality continue to improve. As a result of these capabilities, many issues can be resolved in a matter of minutes, e.g., during weekly division directors meetings. By merely connecting the dots and sharing information, I became the catalyst for more lively and involved meetings and discussions of business issues. Prepared several innovative pricing models for counseling businesses, where there are hourly rates, hours, and even donations. The models only require a few key assumptions, most of which come from automated analyzers.
