Vanderbilt University, Biological Sciences – Administrative Manager 3/13/17 – Present PERSONNEL MANAGEMENT

• Manage, direct and advise office staff (2) including training/orientation

• Hiring of all new Employees, new staff application forms, working with HR

• Recruitment and serving as a liaison for our PI’s and HR Recruitment.

• (Posting position, sending candidate applications to faculty, requesting salary quotes, and processing new hire paperwork.)

HUMAN RESOURCES / PAYROLL

• Responsible for all UG recruitment for TAs, RAs and Lab Assistants:

• Post positions in HireADore, coordinate interviews with Sr. Lecturers and Professors

• Process hiring paperwork, termination paper work, etc.

• Review and approve all biweekly e-Timesheets for staff and UG TAs.

• Posting all Requests for Postdoctoral Scholars and Complete hire paperwork for Post Docs once appointment letter are issued.

• Enter staff changes (terminations, salary changes, etc.) via EPAC or PAF,

• Vacation paid out, collect keys, pCards, etc.

• Work closely with the International office processing visa paperwork for International Postdocs and staff, visiting scholars, observers, etc. This includes H1-B applications, DS-2019 forms, placeholders, Glacier, etc.

• Communicating, implementing, interpreting and policies and procedures as appropriate BUDGETARY / FINANCIAL

• Independently manage budgetary responsibilities for department;

• Work closely with AO and grant manager in regards to expenditures on all grant centers.

• Oversee all expense allocations in CORES, Concur, eProcurement, 1180, etc., to insure charges are allowable, allocable and reasonable.

• Work with AO and Grant Manager on monthly financial reports to include projections and provide updates to faculty.

• Reconcile General ledgers each month to insure packing slips and all backup documentation is in center file, provide information to AO so that she can submit journal entries to correct errors

• Work closely with AO and Grant Manager in the monitoring and tracking all direct and indirect costs and insure they are in accordance with funding sources

• Process all Graduate student’s payments in accordance with Graduate Aid Budget

• Create and process all blanket orders, yearly maintenance contracts.

• Create all capital POs, submit POs for IT requests, etc.

• Delegate for all card holders, reviews all monthly expense reports and process travel for department with exception of graduate students.
