During my tenure here, my responsibilities transitioned, blossomed, and were promoted to the following:
Project Manager/Purchasing Agent: Generates purchase orders and responsible for purchasing and negotiating materials, equipment, and supplies from over 200 vendors. Evaluates vendor quotes and services to determine most desirable suppliers. Prepares quotes to be sent to the customers upon sales approval. Negotiates discounts directly for large buys with the manufacturers to ensure the customer is getting the best pricing possible. Works with suppliers to resolve missed deliveries, short shipments and pricing discrepancies. Matches vendor invoices with the corresponding purchase orders to receive in the database to prepare the order for invoicing the customer.
Maintains relationships with current, potential, and favorable contacts with current and potential accounts. Sets up new account information, and resolves customer issues/problems. Prepares quotes and sends them to the customers, processes orders, prepares correspondence, and fulfills customer needs to ensure customer satisfaction.
Sales Assistant: Assists sales team with negotiating quotes with multiple distributors. Responsible for all activities in the accounts receivable function. Consulting with business executives to inform them of and sell them on OSI Federal Technologies products and services. Maintains relationships and favorable contacts with current and potential accounts. Requests quotes from suppliers and reviews them for accuracy before preparing a quote and sending it to the customers.
Prepares RFP/RFQ & RFI’s for Information Technology products to submit to the Federal Government or Contractors. Researches products and makes suggestions to the customer, processes orders, prepares correspondence, and fulfills customer needs to ensure customer satisfaction. I have worked closely with Niksun, Inc. and The State Department and sold them a minimum of $3mil a year in equipment. I also helped close a $5mil order with Getac, Inc. and General Dynamics Q3 of 2014.
Maintains and records business transactions. Balances ledgers and prepares reports. Performs monthly closing of the company’s financial records, reconciles the bank statement, and posts the necessary monthly journal entries.
Accounts Receivable: Collect on accounts by sending bill reminders and communicating with customers via phone, email, fax or mail. Prepare cash and check payments for bank deposit.
Review each order with corresponding purchase order before invoicing for over 1200 government accounts. Invoice the customer and submit for payment via email, fax, mail or over the internet via WAWF or what is specified in the contract.
Accounts Payable: Receive and verify invoices for over 200 distributors, enter invoices into the system for payment, schedule payments, prepare checks for signature, maintains a checkbook ledger to record all transactions and prepares monthly reports. Works directly with vendors whenever there is a discrepancy on the invoice for quick resolution.
Customer Service Tech: Responsible for resolving end user’s technical issues through phone and help-desk support. Answering and responding to incoming calls, emails, faxes and self-help tickets from clients. Working from office/home providing remote hardware support: printers, desktops, laptops, servers, routers, switches, scanners, cell phones etc. Providing remote software support: operating systems, email, remote connectivity etc. Using our ticketing system, Autotask, to monitor the progress of tickets, communicating the status of the ticket to customers, and documenting the communication in the ticket.
Support customer needs and maintaining a line of communication as those issues are resolved or addressed, performing systems maintenance, resolving issues with IT systems, supporting systems’ general function along with antivirus, backup, anti-spam, and patch software and upgrades, and any tasks assigned to the helpdesk service team as required by operations.
