Treasury Assistant

Prepares and maintains spreadsheets for daily, monthly and yearly cash flow forecasting.

Ensures that payments are processed to meet the stipulated deadlines, this includes; obtaining the required signatures from authorized signatories and coordinating with banks to ensure that payments are made on or before the due dates. Ensures that all cheque books, A-4 cheque stationery and cash are kept securely in the designated safe and accounted for at all times.

Ensure that there are sufficient funds in the operation accounts to cover all needs and administrative requirements such as minimum cash balances, LC charges, LG charges and standing instructions.

Prepares and maintains the Company’s cash management and banking system. Analysis data confirms and reviews printouts and forward printouts to supervisor. Administers the electronic banking system (EBS) to ensure that all payments are effected on the due dates and reflected on the statement.

Assists as required in the preparation of the Annual Corporate/Treasury Budget and its updates, the quarterly financial statements and the annual Audited Financial Statements.

Ensures that daily account statements are obtained in the MT 940 format from the banks and uploaded in SAP. Maintains the currency table in SAP.

Prepares inter-bank transfers for moving surplus cash between Nakilat Accounts in consultation with the Head of Treasury Operations.

Acts as the first point of contact for banks on issues relating to daily operational matters and provides them with required documents & updated it.

Co-ordinates the issue and maintenance of corporate credit cards. Assists in trouble shooting credit card issues. Ensures that card payments are made on time without attracting penalties and in compliance with limits established by the Company.

Administrator Officer (Immigration Department)

Receives from supervisor written authorization for obtaining necessary visas and permits, along with necessary passport and personal information. Passes to Immigration Assistants for preparation of Government-issued request forms.

Processes renewals of visas and permits prior to expiry dates. Processes business and visit visas for official Company visitors, ensures that visas are obtained prior to visitor’s arrival and that visitors are met and assisted at the airport accordingly.

Participates in any investigations of visa, work or civil irregularities concerning employees and submits reports to supervisor accordingly.

Maintains weekly progress chart of work assignments and records of documents relating to visas and work permits being processed through Government departments.

Responds to notification of visa and work permit problems and assists personnel concerned during and after working hours. Cooperates with police and security personnel in any investigations/proceedings and provides complete reports of any such incidents to supervisor. Includes investigating lost passports or visas and assisting with deportation proceedings.

Carries out other similar or related duties such as advising personnel on requirements and procedures relating to visas and due dates for renewal of visas/permits, safekeeping documents and passports, monitoring and raising requisitions for supplies, maintaining and replenishing petty cash float for visa fees and preparing weekly and monthly activities reports for supervisor.

Assists with the Commercial Registration process for new and existing Companies – to include Joint Venture Partners.

Provides Immigration support to Joint Venture partners and advises of the processes to be followed.

In the event of a death in service, responsible for coordinating as required with the various Government Authorities to ensure that the remains are repatriated.
