I performed general administrative duties. Specific assignments include the following:
- I proofread and edit documents before retyping them using Microsoft Word, such as position descriptions, letters, memos, etc. I type approximately 45 words per minute.
- I am responsible for scanning documents to send out via email, in addition to faxing documents out.
- Receive and distribute incoming mail to employees; in addition to coordinating outgoing mail. Deliver and track documents to appropriate offices and/or authorities for signature. Documents include PMAPs, cash and time off awards, memos, and/or letters. Once signatures are obtained, documents are prepared for distribution.
- Created, edited, and printed pamphlets using Microsoft Power Point for use in meetings and conferences. I also update organizational charts using Power Point.
- Respond to employees’ general inquiries and answer procedural questions regarding the office procedures, practices, and processes via email using Outlook, in person, and/or via phone.
- Manage office supplies by visiting office supply store websites to obtain necessary information for ordering supplies for the office. This information such as item descriptions, code numbers, prices, and quantities are entered on the order summary spreadsheets I create using Microsoft Excel. Once supplies are received, I am responsible for ensuring the correct items are received and after ensuring orders are correct, I sign off for receipt of supplies. I track orders and follow up with companies when orders are not received on time or when there is a problem with the order. I deliver ordered supplies to employees and stock the supply closet. I also organize the supply closet and conduct inventory of the supplies, in addition to receiving requests from employees to determine what to order.
- I assist the office timekeeper by creating new employee timekeeping files. I also make copies of all employee timesheets and leave and earning statements (LES) for filing in the employees’ timekeeping folders. I am familiar with the ITAS system as I enter my own leave into the system.
- I print out completed employee travel vouchers to obtain approval signature from supervisors before scanning them to the Program Specialist for processing.
- Set up meetings with employees using the automated calendar option in Outlook. I participate in office meetings and follow up on action items with employees.
- I establish and maintain the office filing system by creating new files, reorganizing administrative archival files, and filing documents associated with timekeeping, PMAPs, retirement, and travel.
