Title: Unit Secretary
In 2008 I returned to 5West at NEBH as the weekend secretary. Although some of the job duties
changed from my previous role as secretary I was able to re-enter the routine with minimal
training.
Recent job duties included obtaining patient’s charts upon admission, notify admitting of
patient’s room and admission status via phone or Meditech computer system. All doctor’s orders
were faxed to pharmacy upon patients arrival and initiating of patient Kardex(a large folding
index card used by nurses to keep track of patients orders). In addition to noting orders on
Kardex, I entered them in Meditech and contacted appropriate departments of requested orders.
Orders included PT/OT, brace fittings, doctor to doctor consults, diet orders, and lab work and
radiology requests. In addition to admitting orders there are daily, doctor rounds orders,
reoccurring and emergent orders that require the same approach. When entering orders via
Meditech system the options were routine, STAT and future orders so it was my responsibility to
enter them accordingly and properly to ensure proper completion of order.
Patient’s bedside call buttons rang at my desk and I directed them to appropriate staff to address.
Nurses and nursing assistants now carry wireless phones that I would have to transfer proper
pages, messages, requests and calls to using phone, call system or computer. I was responsible to
answer the multi line phone system in a timely and professional manner identifying myself and
the unit. As secretary I was the only one at the desk consistently and the phone system did not
go into an answering machine. As weekend secretary I worked closely with the residents,
fellows, PT/OT, and Nursing Coordinator as support staff was less available to assist them. I was
very organized and kept the flow of the floor calm and organized which helped everyone. I kept
track of when patients or nurses were off the floor and when optimal time for therapies and test
could be arranged.
In addition, weekends consisted of a lot of discharges from our hospital to home with services or
outside rehabilitation centers. To assist in the discharging process, I faxed all discharge
summaries and page one referrals, and doctors orders, to facilities to ensure continuity of
patient’s care. When ambulances arrived I verified proper patient identity and handed over all
relevant patient discharge paperwork. Upon patients discharge from floor I notified admitting
office of patients status change and broke down the inpatient chart to be picked up by medical
records.

Title: Patient Care Technician in recovery room
Job description:
I assisted, registered nurses, admit patients directly from the operating room. I was responsible
for drawing all venous post operative blood lab work on patients. In addition, I would obtain
patient’s vital signs including blood pressure, temperature, pulse and monitor patient output
drains. EKG’s, if warranted, were also obtained by me at the patient’s bedside and handed
directly over to ordering personnel. Assist x-ray technician to properly position semi-conscious
recovering patient to obtain post-operative x-rays. When the patient’s time in the recovery room
was over, I along side with a RN would transfer the patient to the assigned post-operative floor. It
was also my responsibility to replenish all recovery room bays to ensure that there were adequate
supplies ready for the next patient and/or shift. End of shift duties included light housekeeping
duties of collecting and disposing of bed side trash and biohazard bags to the main collection
area for the surgical areas to be collected by main housekeeping. This is a position that I
received on the job training for and did not attend or receive a degree in. I followed and was
trained by hospital staff from the laboratory and or surgical areas.
If needed I also filled in as secretary, I would coordinate patient arrivals from operating room
and direct patient to appropriate recovery room bay. Upon arrival of patient it was our
responsibility to order all post-operative x-rays immediately, for all joint replacement patients, to
verify joint placement. This is the one task that is exclusive to recovery room secretarial
position. As patient would have initial x-ray taken in OR in recovery room we needed to order 2
view x-rays immediately to double check proper placement of joint hardware. Full description

Job description:
As unit secretary I was responsible for maintaining patient information, transcribing
doctor’s orders, answering phones and patient call buttons. The units I worked as secretary
include a thirty bed surgical unit, a ten bed intensive care unit and a thirteen bed post anesthesia
unit.
It was my responsibility to collect, verify and record required information on patients for
registered nurses and doctors. Upon admission to the unit I obtained either patients chart or
admission paperwork and initiated a patient’s chart. First task of a patient’s admission to the unit
was to contact admission department to have patient’s status changed to admission to said unit.
Secondly, fax all doctors’ order pages to the pharmacy and begin the paperwork for the unit. In
transcribing the orders it was my responsibility to copy all doctors’ orders on a patient kardex
and medicine sheets, where a nurse would cosign and verify all orders. I would also be
responsible for entering a patient’s diet order, future lab work, radiology tests, and all PT/OT
consults. If a consult for another doctor was warranted it was my responsibility to page
requested doctor or contact their office or answering service to ensure patient would be seen. As
secretary it was my responsibility to assist nurse in coordinating when patient would be up for
tests and consults. I answered, screened and routed telephone calls for nurses, doctors and
patients, using a multi line phone system. I would transfer calls from nurse’s desk to patient’s
room, I would be responsible for answering a multi line phone system that did not have an
answering machine. Also performed several support tasks such as opening and sorting mail and
maintaining office supplies. I was capable of working in a face paced environment and could
multi task and properly prioritize the various needs of the unit.

Job Description:
I worked out of a small floor kitchen that was supplied a hot food cart from the main
kitchen. The staff ratio in the small kitchen was usually three people and we had three hours to
deliver, collect and clean sixty patient trays. Duties included re-tallying all patient menus to
ensure enough food was sent up, preparing beverages, snacks and broths. As server, I was
responsible for ensuring all the patients selections were placed on their tray. When delivering
trays I was responsible for ensuring the proper patients received their trays. At the end of the
meal time I was responsible for collecting all patient trays and to ensure that no more than four
dirty trays were left for the next shift. I was also one of three assigned to sorting the dirty trays,
washing of the trays and/or setting up the clean trays to ensure they were ready for the next meal.
I was also asked to help out in the office on weekends. I would receive patient’s diet
orders then set up the proper dietary menu and deliver proper menus to patients. I collected all
menus for the next day and had to count up all patient selections. I notified the main kitchen of
the numbers needed for hot entrees to ensure enough food would be ready. I answered/routed
phone calls and maintained proper diet orders in computer system.

Job Description:
Answered and routed phone calls for a twenty six priest rectory. I scheduled masses and
filled out Mass cards. I counted the money from the collection boxes and mass envelopes. I
would sort mail and place in appropriate mail boxes. I would schedule meetings for weddings,
baptisms, funerals and counseling with the pastor.
