This position involved the overall responsibility for the administration/management of the Emergency Medicine Residency Program, which is a four-year training program with a full complement of 36 resident physicians (trainees). In addition, I was responsible for the administration of the accredited Medical Toxicology Fellowship Program (three trainees).
Main responsibilities included:
Coordination of the administrative details for 34 trainees; this included employment, pay status, appointment status, and termination.
Coordination of the residency recruitment process, utilizing the web-based Electronic Residency Application System (ERAS).
Coordination and organization of the programs, faculty and residents for the internal accreditation reviews.
Organization/preparation of the Program Information Forms for the program director's signature, with his input as required. This included a vast amount of data compilation and information gathering. Arranged meeting locations, and performed any other required functions for the ACGME Residency Review Committee (RRC) site visits.
Coordination of the graduation banquet for the senior residents, among many other specific tasks related to both programs.
Served as the administrative support to the residency director, associate director, chief residents, and one other EM faculty member, as well as all residents (31 trainees) and fellows (3) in training.
Acted as the program liaison with the administrative staff of the UCSD Graduate Medical Education, as well as the program liaison and respondent to all inquiries from national specialty and accreditation organizations regarding the training programs.
Worked with a diverse group of faculty, staff, and students in an academic setting.
Other duties not related to the training programs include:
Support for the program directors: updating curriculum vita; preparing extensive paperwork packets such as that required for their academic promotions and their bi-annual medical staff reappointment paperwork; keeping continuing medical education records updated; preparing reimbursements and travel expense vouchers.
Compilation of information on faculty from the completed emergency department rotation evaluation forms into a composite form to be submitted with the academic advancement paperwork.
Preparation of conference continuing medical education (CME) evaluation and accreditation reports required by the UCSD Office of Continuing Medical Education.
Responsible for a full range of administrative duties including, but not limited to:
composing correspondence
screening incoming mail and telephone calls
scheduling meetings
arranging conference locations
ordering audio-visual equipment
functioning as the residency timekeeper
ordering office supplies
preparing payment authorizations, travel expense vouchers, purchase requisitions, and a multitude of other UCSD forms

I served as the administrative support to Dr. Oliver W. (Bill) Jones, Director of the Division of Medical Genetics, two genetic nurse counselors, and five lab assistants. I functioned independently in all non-technical aspects of the division. Responsibilities for this position included the planning, scheduling and organizing of the office workload. I provided a full range of administrative duties that included preparing correspondence, transcribing genetic reports and preparing karyotyping reports to be distributed to the personal physicians of our patients, overseeing general ledgers, and ordering supplies.
