Clerical I

As Cerical to the EJC School building, my daily duties include, but are not limited to: daily census, answering phones, taking messages, distributing calls. Updating, several times a day, the reservations needed in Fleet Commander. Review and edit all treatment plans for my four teams. If the plan needs corrections, other than I can make, I send back to the senior clinician that sent it to me. Once the plan has passed my editing, it is sent to an administrator for their proofing and locking. After Treatment plans are approved and locked, I print, collect all signatures needed, copy and mail treatment plans. I am also responsible for making sure that the parental signature is obtained for that treatment plan within one month. I enter UIR's (Unusual Incident Reports) once I have obtained 2 administrator signatures. After one signature, I fax the UIR to the appropriate CMO. If the UIR involves a restraint, I have to also enter the UIR into the JOLT system. Then I file UIR's in proper UIR files, maintained by student name, by me. I file anything that my teams give to me for the students files. This can consist of phone calls made or received, medical information, school information, all intake paperwork, and treatment plans. Also keep track of all service learning projects. Daily, I go to the Mawby to pick up mail. I also bring over the outgoing mail. I distribute mail to my 4 cottages and staff and CISD staff. File and keep track of daily medical audits. Reserve 3 conference areas for different staff. Maintain, daily, the Documentation Due List. This Due List consists of all treatments plans and signatures to treatment plans that are due. Outstanding medical audits, outstanding team meeting minutes, outstanding case notes. Also, the meal count sheet for the following week. This lists coincides with the files that I have on my desk with treatment plan signatures that are due. Every time there is a change to the face sheet, i.e. address or phone number change for parent, worker change, when incoming paper work is received, anything that is on the face sheet is updated and maintained by me. After updating the face sheet, I must distribute updated versions to several different people. I also maintain a student photo board, in which I take the student photo when they arrive, and maintain my truancy log and the cottages truancy log and a student photo board that is in the office. Photos should be retaken after the student is here 6 to 9 months. Things that I do on an as needed basis consist of: when new students enter or leave the program I am the person entering and closing them in Anasazi and in the data base. This entails many steps. When I student enters it is my responsibility to maintain his client file. When a student leaves, I break down that file and make an after care file for him, which is maintained for one year after the student leaves Starr. I also order office supplies and supplies from the commissary to keep our office and kitchen supplies stocked. Every Friday, I print off the most current documentation due list and distribute to all of my teams and administrators. I am also responsible for maintaing all of the current year's closed files in the basement and one year prior's files as well. After files are two years old, the file and the after care file are taken to Archives to store. I also help Beth Williamson with intake when she is on vacation. I also help with Time Cards when Gina is on vacation. Before leaving for the day, I make sure all classrooms are locked, along with offices and building entry doors.
