Meeting Planner Manager ( Government Contract)

Manage meeting planners that manage all aspects for small and large size conferences/meetings (ranging from

10 to 5,000) for domestic and international contracts. Approve administrative meetings tasks that include site

selection for meeting space and/or room block management, supplier RFP’s and vendor selection, contract

negotiations, audio visual coordination, database management/manipulation, lodging and travel. Provide

administrative approval for contracts as requested by the Project Officer by generate and update rooming lists,

preparing logistical and confirmation letters for clients, attendees, speakers/VIPs, and vendors. Coordinate with

clients to develop budgets and meeting materials as necessary. Prepare contract reports and meeting budgets as

required for all domestic and international contracts. Correspond with clients and attendees via phone, email,

Coordinators consultant travel for the Child Welfare Review Projects, which support the Children’s Bureau,

U.S. Department of Health and Human Services (Government Contract). Responsible for creating travel

information packages; providing detailed instructions to a travel agent; tracking that consultants have made

correct and cost-effective travel arrangements; providing reports on cost and arrivals and departures to project

staff; and, as needed, coordinating ground transportation, rental cars, and ride-sharing.

L ogistic Coordinator / Panel & Conference Support

Prepare materials for the SBIR/STTR Program Officers to use at speaking and presentation engagements.

Assist designated Federal NSF personnel with site visits and site selections for Workshop and Conferences

alike (including the annual Grantee’s Conference). Prepare materials for the annual Grantee’s Conference.

Coordinating all aspects of annual conferences, workshops and seminars alike (pre-planning, on-site

execution, and post event wrap up, research and recommendations for future sites, development and

administration of meeting budgets). These activities usually take up to six months in preparation. All of the

following steps include (but are not limited to): sending notices to Award grantees ( conference

promotions), assisting PO’s with organization meeting materials & schedules, assisting various other

interagency offices with materials & schedules for presentations, and assisting outside Commercialization

Contractors with materials & schedules. Negotiating contracts, agreements and terms with suppliers,

vendors, hotels, etc, that consistently protects the PO’s and their reviewers. For all reviewers and their

expenses, setting up travel arrangements and preparing travel vouchers are daily duties. Generating reports

for Program Officers for each panel-denoting proposal and reviewer status. Providing panel management

to include: the arrangement and distribution of conference materials before/on the day of the panel;

ordering of light refreshments from vendors, oversee Interactive Pan el set-up of laptops and LCD

projectors, upload Program Officer’s presentation for the panel, type panel summaries for proposals as

required; upload panelists reviews into the Fastlane system and troubleshoot the laptops during the panel

session. Provides post-panel management to includes the breakdown of the panel rooms equipment,

properly discarding confidential materials, distributing panel documents to mini-team, updating PARS

(government database), with other relevant data, record panel outcome in Excel spreadsheet & FileMaker

Pro; collect, organize, and verify that evaluation materials comply with the program’s criteria for

completeness and accuracy. Train all new staff members on day-to-day activities.

D ocument Processing Specialist / Panel Support ( Government Contract – NSF)

As a Document Processing Specialist on contract with the National Science Foundation, duties

entitled support of three Program O fficers . Use the NSF Proposal and Reviewer System (P ARS) to

input data relating to each proposal, the principal investigator, the sponsoring institution, and the

peer review process. Performs an analysis of each proposal for required documents and

information to determine initial program acceptance, (i.e., completed Cover Pages,

C ommercialization History, Address of Criterion 2, Budget completion, CV/Bio’s, Current &

Pending Support, Project Summary, Project Description and other relevant documents). Generates

proposal Abstracts as requested by Program Off icers (PO) for potential reviewers. Creates Excel

spreadsheets with selected proposal information according to Program Officers requests for panel

set-ups. Performs research for specified proposals at Program Officer’s request (Research Principal

I nvesti gator’s Histories, Institutional Histories and Reviewer Information) and present findings to

PO’s. Works with designated mini-team of POs and reviewers to coordinate administration of each panel

and ensures jacket preparation activities through personal contact, informal correspondence, and electronic

mail. Verifies selected reviewer data before data entering/updating information in databases. C reates

electronic panels via the PARS system and assign proposals to panelists in PARS for generation of

electron ic review packages for retrieval through the NSF Fastlane system; generate panelist letters,

passwords, pin numbers, and instructions for electronic distribution. Generates reports for

Program Officers for each panel -denoting proposal and reviewer status. Prepares proposals for

final out processing, with related documentation that supports final grant award or declination

actions; delegate jacket preparation activities to assigned temporary employees as needed to ensure
