This position is working with the ADM of Inspections for the District and we have primary responsibility for enforcement of the Federal Mine Safety and Health Act of 1977. The incumbent of this position provides program and administrative support, as well as working in direct support of the ADM of Inspections his Field Office Supervisors, Secretaries and Inspectors.

My job duties are but not limited to:

* Serve as acting DM Secretary when necessary. In addition to daily inspection duties also complete preliminary/fatal accident investigations, hazard complaints,

and incident reports.

* Process travel arrangements and SF-1164s for ADM.

* Coordinate all aspects of training for CMIs and Accident Investigators. Create and update training worksheets for schedules and tracking training for district employees working directly with Student Services at our Academy to ensure proper registration and lodging arrangements. Maintain and update training calendar on Recourse Center.

* Process all incoming mail, answer calls, and manage DM schedule.

* Review and process SF-1164s (reimbursement claim) for investigators and submit to Denver Finance for processing.

* Review submitted training forms from field offices to OASAM and the Administrative Office.

* Generate and maintain performance appraisals for field office supervisors.

Review performance appraisals for all inspection personnel.

* Maintain weeklies for field office supervisors and review any comp time that is claimed.

* Log new inspection personnel training schedules on the Resource Center. Work with the Administrative Office to ensure new performance standards are put in place in a timely manner.

* Serve as administrator for the E2 travel system. Assist with complex travel problems regarding credit card issues, accounting codes, and routing pools.

Enter new accounting codes for inspection personnel on the E2 travel system so travel is charged to the proper budget. Generate help desk tickets when necessary. Establish user accounts and set up profiles for new inspection employees. Attend a monthly travel conference call for system administrators to keep abreast of current travel issues.

* Serve as point of contact for operators and contractors for requesting and updating LIDs and MIFs. Generate contractor ID numbers as needed. Process

LIDs and MIFs. (Legal IDs and Mine Information Forms). Working with the Office of Assessments processing IDs to track Mine information.

* Process 7000-1 (Accident Injury reports) and distribute accordingly.

* Responsible for reviewing inspector overtime and entering it into the OT database to ensure accuracy on proper coding of time. Process overtime for inspection personnel.

* Log incoming FARS/AA (Field Office Review/Accompanied Activity) update database for ADM of Inspections and FO Supervisors tracking purposes.

Keep proper copies of FARS/AAs under field offices for ADM. (Notes, Inspection forms, Citations) and signed forms processed and tracked from ADM to DM back through Inspections to the FO Supervisor and Inspector.

* Process all New Mine ID requests, notify proper field office, and issue New Mine ID packages which are sent to operators opening a new surface or underground mine via UPS or certified mail.

* Process mine status changes to PAd and TI status. Issue letters to advise operators of change made via UPS or certified mail. Log all status changes processed by the field offices to include active and non producing.

* Review E28 memos from field offices and generate 15 day letters, PAd or TI letters if necessary.

* Process requisitions from all field offices and distribute to Administrative Office.

* Update union officials and miners representatives on the MIF in MSIS database, updated the log on the Resource Center, and distribute accordingly.

* Maintain the vacated memo files.

* Maintain the Emergency Box Inspection Files.

* Maintain home and work forms for all field offices.

* Assist in absence and cover areas as needed.

* Other duties as assigned.

Coal Mine Safety and Health Office Assistant Special Investigations

In this position, I worked with the SSI, Supervisory Special Investigator. This is where the process of Investigating an unsafe or unhealthful condition that has occurred or is occurring in the mining industry. The district decides if there has been a violation of the Miner Act and the Special Investigations group will open and prepare the case for investigation. The SSI oversees the investigation as coordinating with the District Manager. As part of this position my job duties were but not limited to:

* Track data for 105 and 110 case status. * Update and send monthly reports to SOL (Solicitors). * Create and send quarterly report to TCIO (Technical Compliance Investigation Office). * Create log to track fiscal year penalties, citations, orders, violations and criminal cases. * Read over interview statements and make corrections as needed. * Copy and mail proper documents for individuals involved in case send documents by certified mail keep all correspondence for tracking and update case file. * Follow procedures on sending out cases to TCIO or Attorneys. * Create tabs and put together exhibits for case file. * Stamp and number each exhibit in order for case files. * Prepare transmittal letter for TCIO. * Create memo for TCIO and follow up with District Manager for review and signature. * Check dates on 2000-158 and total hours before copying to send to TCIO. * Update all databases. * Review reports and make necessary changes. * File cases or 7000-20s in appropriate places and keep organized. * Prepare all forms for archives. * Create archive log and tracking log for archived items. * Assemble folder for petitions. * Edit and follow up with jurisdiction letter. * Scan and email documents as needed. * Make travel arrangements for Special Investigations Group. * Provide itinerary, secure travel, and prepare travel voucher after completion of travel. * Prepare training authorization and evaluation for Special Investigations Group. * File all correspondence. * Coordinate with other agency offices as needed. * Edit letters for health group. * Prepare and send out letters to operator for mass mailing. * Use MSIS for entering and uploading weekly activity data. * Prepare documents and provide enclosures. * Keep required phone schedule and provide assistance when needed for District Office phone system. * Prepare mail and send out for District. * Edit records to comply with policy and procedure. * Provide information to complainants regarding process for 105(c) Discrimination Complaints. * Exercise discretion at all times with confidential information. * Complete database training exercises as required. * Maintain time and attendance records. * Record keeping manual and electronically. * Keeping track of and ordering supplies when needed. * Perform other duties as required in the support of District 2. * Update and email spreadsheet to our Solicitors office so that they can track cases. that are currently being investigated by our district and if the case has been forwarded for further investigation. * Trained and worked with our ACRI program (Conference and Litigation Department) assisting their Secretary as needed. * Set up case files and send out Petitions/Motions as well as entering information to the MSIS database, set up Conferences prepare and mail out Motions to the judge as needed. * Update issuance on MSIS database for tracking purposes.
