3. Library Assistant (2003- 2004): Moi University, College of Medicine, Eldoret.
Management of the “Circulation Services”.
I managed the circulation, inventory, exit control security, and physical maintenance of the print
collections and also supervised library public services operations which included:
Overseeing the charging out, returns, and re-shelving of circulating print materials
•
Generating integrated library system reports for overdue materials, fines, and lost & paid
•
items, generated all overdue notices to users, then send overdue notices to Media Services
and Inter-library Loan Supervisors for processing. I also charged and collected fines and
replacement costs, and prepared receipts and monthly reports for fines and charges for
print collections, and sent them to finance.
Negotiation of overdue notice complaints and referred them to Campus Librarian when
•
appropriate.
Approval of the extension of library privileges to library users based on information
•
received from applicants.
Maintain ace of library records
•
In the Reserves (Books) Systems, activities handled by me included:
Creating and maintained accurate and consistent course records in the integrated library
•
system reserves subsystem, regardless of the format of the reserve items for the course
and processed print reserve requests.

Arranging for the purchase of books when requested by faculty, submitting purchase
•
requests to appropriate bibliographer and also tracking faculty personal copies of reserve
books from their receipt, through cataloging and their return to faculty.
Removed reserve books and suppressed course records at end of semester or when no
•
longer needed and notified faculty of reserve procedures and policies in advance in each
semester.
In the Collection Maintenance & Exit Security Control, I did the following:
Supervised shelving, shelf-reading, shifting and space planning, and cleaning of print
•
collections (books, bound periodicals, and current periodicals and newspapers).
Conducted searches for missing print materials and prepare preliminary order forms for
•
replacements.
Identify all print materials in need of repair or replacement, prepared preliminary orders for
•
replacements, and changed status of repair items in system item record.
Carried out print collection inventory projects planning by the Technical Services Librarian
•
and also oversaw operation of the exit control system.
Communicated with the Student Development and Campus Safety regarding attempted
•
thefts and mutilation of Library materials and represented the Library at any subsequent
hearings.
Developed communication and training procedures to ensure the security of collections
•
against theft and physical deterioration.
In the area of Planning & Budget:
I prepared assessment reports on circulation of materials, collection loss, and revenues (fines,
waives, book loss payments) including annual report. Developed long and short range plans for
shifting or re-arranging of collections needed to accommodate growth of collections and any
additions, weeding or elimination of collections. I evaluated the need for equipment and made
recommendations for purchases. As needed, I acted as a resource for projects and planning for the
Public Services Department and/or the Library as a whole.
Personnel Management

I oversaw student assignments and scheduling, prepare student time-sheets and authorize payment.
I used to hire, train, supervise, and evaluate part-time circulation student assistants. I developed
and revised student assistant training for circulation, exit control, shelving, reserve processing,
book searches, and stack maintenance.
Reference department:
I ensured that all recorded questions asked by users in person and by telephone are answered. I
assisted users in locating materials at other libraries and referred users to proper desk or personnel.
I recorded accurate statistics of reference transactions and assisted users in using the online catalog,
databases, and all reference sources in both electronic and paper format. I used to refer involved or
in-depth reference questions to the appropriate reference librarian. I administered and interpreted
reference policies and procedures to students, staff, faculty, and the general public.
4. Library Assistant (1996 - 2003): I worked in the Technical department (Acquisition,
Cataloging and classification):
I was responsible for copy cataloguing, that is downloading of bibliographic records either from
Online Computer Library Centre (OCLC), Library of Congress online catalog or commercial
vendor database or another library’s on line catalogue to our local system. I was also doing
original cataloguing for those titles that have recently been published or has a specialized topic
for example, local or government publications where a bibliographical utility may not exist in a
utility vendor or vendor database, and in this case I used to do original cataloguing to create a
full bibliographic record using Machine Readable catalogue (MARC) and Anglo American
Cataloguing Rules (AACR2). Then I would take would pass them over to the technical librarian
to counter check, before I hand them over to the circulation
Acquisitions: Through the supervision of the technical department librarian I was responsible
over publishers catalogs or write a letter to each department to send us a list of books that they
want the library to acquire for them (this was the library policy and procedure). Thereafter share
the list with vendors to supply the information materials under the supervision of the technical
librarian.
