Over 17 years of administrative and clerical experience working in
financial, mining, retail and sporting sectors. For the last nine
years, I have worked on the senior/executive administrative level.
Expertise and knowledge of Advanced Microsoft Office (Outlook, Word,

Main position purpose: responsible for the smooth operation of the
CEO'S office, projecting positive company image as well as designing
and maintaining appropriate supporting systems to enable the CEO to
fulfil his key deliverables.
Key performance ouputs:
Effective management of CEO's calendar and correspondence. Ensure
CEO's day runs smoothly by prioritizing his appointments in order
running from urgent to less important and screening the parties
requesting an appointment. Manage electronic diary using Outlook and
after hours, blackberry so that his calendar is always up to date.
Ensure his diary has some flexibility (for changes). Also address
and answer any written correspondence received with minimum
supervision and direct any queries/requests to the relevant people
and department.
Management of CEO's local and overseas business and personal travel
arrangements (flights, accommodation, visas, forex, tours and car
hire/transfers). Ensure flexibility in travel plans so any changes
can be easily made. Also have had to build and maintain
relationships with various consulate-generals and South African
Foreign Affairs in case there are any issues around travel, health
and safety for the visiting team in the foreign country.
Meetings Co-ordination by way of preparing professional
presentations when necessary, co-ordinating all CEO's meetings and
meeting packs, making bookings of meeting venues and organising
catering for meetings. Also co-ordinate follow-up and feedback on
issues raised in meetings.
Financial and Budget Administration -ensure CEO's business credit
card is reconciled monthly, ensure invoicing from suppliers is in
order and payment made on time. Process CEO's expense claims.
Monitoring of CEO's budget and working proactively with Finance
department to check accuracy of expenditure costs to the CEO's
office.
Hospitality Suite Management by working with stadium events
management in ensuring CEO's VIP guests are hosted in suites and are
catered and taken care of.
Also work with stadiums on complimentary ticket allocation for CEO's
office.
Responsible for the screening of incoming calls to the CEO's office,
dealing with and transferring of these calls appropriately and
taking messages where necessary.
Responsible for Quarterly Management Operations meeting- ensure
management meets quarterly to discuss their department's major key
activities, issues and sporting projects. Ensure meeting venue and
date is made, act as a scribe at the meeting, transcribe minutes,
distribute minutes after the meeting and follow up on
issues/activities by managers.
Responsible for organisation and arrangements of visiting team
management itinerary by assisting with invitation letters for
visiting delegation, arranging transfers, hotels, tours and setting
up meetings between the host and the visiting delegation.
Office Maintenance & General Administration - ensuring CEO's office
is regularly cleaned and presentable, office equipment (e.g.
printers, faxes, photocopying) is in working in top condition,
managing CEO's stationery requirements, typing of general letters,
presentations and memos, sending and receiving UPS parcels to the
necessary cricket unions, sending faxes and doing photocopying for
CEO.
Act as main liaison point for sponsors, suppliers, board members,
government official, management, staff and public to communicate
with CEO.
Maintain existing client, sponsor, team, media and government
database.
Ensure confidentiality is maintained at all times in the CEO's
office by ensuring confidential information is not accessible to
outside parties, maintaining secure office filing systems, where
necessary shredding documents and ensuring confidential documents
are locked away only accessible to the correct parties.
HR Administration of Senior Management- file and maintain Senior
Management HR files, prepare all new hire executive management
paperwork, provide administrative support to HR consultant by
assisting in drafting of vacancy adverts, collecting and reviewing
and pre-screening executive management applicants, contacting
qualified applications and scheduling interviews.
Provide personal assistance to CEO by way running personal errands
(for example, paying traffic fines, paying membership fees to
private clubs CEO's belongs to, ensuring driver picks up kids when
he and his wife are away etc).
Reason for leaving: I have obtained United States Immigrant Visa
(green card) and will be in Kentucky by 25 August 2010.

Organisational and arrangement of all overseas principals' visits
and itinerary by organising domestic travel, hotel bookings, game
reserve visits, tours and airport/hotel transfers.
Screen MD's telephone calls to determine relevance and address
query/relevance of the call.
Implementation and management of file management system to ensure
files are kept up to date filed correctly and are accessible. Also
ensure safekeeping of confidential files and the confidentiality of
these files are kept under control at all times.
Work with Events Manager to organise corporate golf days, customer
days and other events needed to build relations with key customers
and suppliers.
General administration - photocopying, faxing, managing stationery
requirements of MD's office and other ad-hoc administrative work
needed by the Executive team.
