returned to GSO/P&S for residential inventory file.

* To make sure that check-out inventory is conducted to all departing U.S. M ission

personnel

a t least ten (10) days prior to their departure from post.

* To make sure condition codes and location(s) of the properties inventoried must be

relected

on the NEPA inventory worksheets whenever H H check-in/check-out, and office inventories

a re conducted.

* To ensure that all damages of USG propery issued to occupant(s) beyond normal

wear and tear

and or shortages must be assessed based on 6FAH and Post Housing Handbook

regulations, and reports

m ust be submit ted to the Embassy Accountable Property Officer.

ADM I N Clerk: Principal responsibility is inventory/stock control of USIS non-

expendable

p roperty and program property. Assists Admin Management Assistant in arranging

maintenance/repairs,

shipping, motor pool operations, and t ravel arrangements for visitors/staff.

* Prepares inventory and stock control records for all USIS properties. Completes

and maintains

issuance/turn-in records and locator cards for all properties. Conducts regular inventory

checks of USIS

p rogram properies and reports status to supervisor. Completes and updates maintenance

and repair

records and files for all USIS program property, admin equipment, furniture (office &

residential),

reporting regularly to supervisor, informing if emergency repairs are required. Coordinates

w ith

USIS program elements, where property/equipment is utilized for issuance, repair, or

d isposal.

* Receives all incoming USIS shipments and arranges for outgoing shipments to

USIA or other

points. Coordinates with Embassy GSO to ensure prompt delivery or adequate storage of

a ll goods. Keeps

supervisor informed of status of incoming/outgoing shipments. Ar ranges for inter-office

movement of USIS

p roperties and residential moves for Mission Officers.

* Dispatcher for USIS motor pool, assigns drivers/vehicles for program functions

and USIS

deliveries to all media outlets such as TV stations, Radio stations, and Newspaper stations.

E nsures all vehicles are maintained by Drivers and Emabssy GSO and taht t r ip t ickets are

u pdated

and turned in by drivers daily. Responsible for the operation of the USIS radio telephone

communication system used in the USIS vehicles by USIS Drivers. Controls the base radio

located in the

USIS admin section to keep in touch with all drivers out on assignment, assessing t raffic

conditions and advising supervisor when necessary regarding adjustments required for

scheduling.

* Assists supervisor in making or placing t ravel/hotel reservations, obtaining cost

estimates

for items to be purchased by USIS, especially when car parts or repairs are involved;

p reparing

request for purchase orders and do the canvassing to be submit ted to Emabssy GSO

maintenance

repair shop. Performs other related duties as assigned.

SUPPLY Clerk: Primary responsibility is conducting physical inventories and

u pdating

i nvnetory records of all USG offices, residences, and warehouses for STATE and other

agencies as well as

reviewing and editing various inventory documents encoded for all offices and residences

by

t he Data Ent ry Operator.

Assists in planning and scheduling inventory schedules and prepares miscellaneous

memos

for the annual physical inventory of offices, mission residences, and warehouses for STATE

and

eight (8) other USG Agencies.

* Responsible in preparing memos for the inventory reports, discrepancies,

damages,

shortages, and overages in preparation for the annual reconciliation.

* Assists in preparing final reports, certificate of reconciliation for all non-

expendable

and expendable properties at post for submission to the Department of State.
