Position: Administrative and Program Specialist II
Duties: Performs administrative duties for one Director & three supervisors.
Prepares Monthly Production Control Report (Agency-Owned Vehicles) & Pool
Vehicle Mileage Report (Leased Vehicles) in table form using MS Excel to
calculate totals. These reports consists of information such as vehicles assigned
to different buildings, odometer readings on each vehicle, fuel cost, daily trip
tickets which are tickets used to keep track of clients appointments to various
destinations, bus runs, chart pickups, x-rays transported to and from hospitals,
stretcher transportation for the clients, vehicles use requests for employees,
employees’ utilizing their personal vehicles for work related missions to be
reimbursed for expenses, & work orders for repairs. Prepares a monthly tracking
spreadsheet using MS Excel keeping track of mileage on all leased vehicles
used by the facility. Prepares a Quarterly Budget Report containing information
about the facility meeting the goal for that period. Creates a report in table
format using MS Word of employees who have completed their Mandated
Training each year in the Transportation Department. Enters each vehicles
owned by the facility into CarCare System for insurance premiums owned on
each vehicle. Enters information in table form using MS Excel on each vehicle
that needs repairing and submits the information to the Central office for
reimbursement. Answer incoming calls requesting transportation for on and off
grounds transport for clients. Type written notices using MS Word. Types memos
using the General Template feature. Types Plant Property Management Request

Position: Administrative and Program Specialist II
Duties: Prepared Warehouse Activity Report in table form using MS Word &
used MS Excel to create graphic charts to show information which consist of all
processed incoming and outgoing stock items and non-stock items on a monthly
basis. Used MS Word to create a table showing daily attendance of all
employees. Keyed in all requisitions and prepared a report for all items to be
reported daily to the Procurement & Materials Management Office. Maintained
the master MSDS (Material Safety Data Sheets) manual of all products &
chemicals used on campus. Purchased any supplies that were needed for
warehouse operations through AMEX (American Express) and FMS (Financial
Management Systems) and prepared a monthly statement report to pay bills
created in table format using MS Excel. Also, responsible for answering phones
taking incoming calls, typing correspondences, memos, emails, maintained
employee bulletin board and any other administrative duties required. Also,
worked overtime helping the moving sections of the warehouse move furniture,
