Job Description: Lateral promotion to Secretary of Vocation Rehabilitation
DUTIES: Open and distributes incoming mail and prepares outgoing mail.
Prepares cases for closure and prepares for shipment,
enters data into the IRIS Case Management system. Runs
IRIS reports to identify old claims and over dues as well
as other reports per Area Supervisor request. Provides
counselor secretarial support for such tasks as answering
phone, receptionist, and fiscal matters and other
secretarial duties as required. Ability to type with
accuracy and select proper format for forms, and letters;
and maintain effective working relationships with staff,
other state agencies, employees, customers and the public.
Maintain confidentiality on sensitive issues. Be able to
work independently within the Policies and Procedures of
the agency to complete assigned duties in a timely and
accurate manner.

DUTIES: Assist in monitoring and tracking of four (4) funding sources,
daily entry/DVPT-Domestic Violence Prevention and Treatment
Grant, SSBG-Social Services Block Grant, SOS-Sexual
Offenses Services Grant, FFVP-Federal Family Violence
Prevention and Services reimbursement claims. Perform data
entry for the following: Quarterly reports, Close-Out
Budget Reports, and Annually reports, Input budget scoring
for four (4) funding sources. Sort through incoming
reports making sue agencies mailed in their correct forms.
Work closely with Claims Management department. Making
sure claims are signed, paid and filed in a timely manner.
Heavy phone calls for both Domestic Violence and for
Housing and EAP. Maintain spreadsheets and prepare
documentation of agency compliance for the following:
Applications scoring, budget letters, and award letters. Work closely
with Ms. Jackson with new contracts. Maintain travel reimbursement
for DV Council members .
