Essential Functions

Human Resources Duties:

Manage full time and temporary staff of more than 100 employees.

Explain company’s policies and procedures to all employees.

Set up and process all drug screenings and background checks.

Responsible for recruiting, interviewing, and hiring new staff.

Develop employee handbook, policies and procedures, to reflect changes.

Develop and deliver training programs to management and staff on such issues as sexual harassment,

safety and disability awareness and legal hiring practices.

Manage training facility and student files.

Develop and maintain school policies and procedures to be compliance with the state Massachusetts

Department of Elementary and Secondary Education.

Explain school’s policy and procedure to all students.

Verifies information on enrollment forms submitted by students, and sends Training Opportunities

Program application forms to Massachusetts Department of Workforce Development (DUA) and to The

Massachusetts Rehabilitation Commission (Vocational Rehabilitation).

Perform a variety of clerical duties (sorting incoming mails, filing, faxing and answering telephone,

and ordering office supplies).

Accounts Payable/Receivable Duties:

• Set up all A/P, A/R, Vendors and customers accounts within QuickBooks Pro.

• Set up customers and their Chart of Accounts using QuickBooks Pro.

• Reconcile all bank statements and general ledger accounts against QuickBooks Pro.

• Verify debits and credits posted to accounts

• Generate all financial reports: Balance Sheet, Profit/Loss and Budgeting Reports.

• Makes bank deposits and transfers between banks accounts.

• Researched and resolved all A/P and A/R discrepancies.

• Post customer payments and wire transfers into QuickBooks Pro.

• Post cash receipts entries to the general ledger.

• Answer to customer problems, inquires and complaints.

• Establish and maintain manual and computer files of information for reference and documentation

purposes.

• Telephone collections of past due accounts. Informed customers in regard to their account status and

payment options.

Payroll/Benefits Duties:

• Process, collect and verify hours worked from time sheet and rosters and submit weekly payroll through

ADP PayExpert,

• Distribute paychecks, and distribute year end W 2’s.

• Reviews wages computed and corrects errors to ensure accuracy of payroll.

• Prepare and maintains earnings report for worker’s compensation audit for multiple states (Massachusetts

and New Hampshire).

• Updates master payroll records by recording changes affecting each employee’s net wages, such as

exemptions, insurance coverage.

• Updates employee files to document personnel actions to provide information for payroll and other uses.

• Verifies employment verifications of former/current employees.

• Explains company’s benefits program to all employees and answers questions regarding the benefits

program.

• Fill out application forms, verifies information on forms submitted by employees, and sends application

forms to insurance company.

• Administer employee benefit plans, including life, health, dental, disability insurances, worker’s

compensation, vacation, sick leave, leave of absence, and unemployment.

• Monitor unemployment claims and assist in appeal processes for multiple states.

• Administers Workers’ Compensation program, prepares, and submits claims and coordinates resolution

with the carrier.

• Monitors lost time, follow up care and return to work for injured employees; coordinates light duty

placements.

• Monitor Workers’ Compensation claims and coordinate work between employees and the insurance carrier

as well as track reported accidents.

• Communicates with physicians, hospitals, and employees regarding claims.

• Enrolls new employees in benefit plan.
