Description of Current Duties
Acts as an extension of the Executive and accordingly coordinates and manages various projects
simultaneously. Works with minimum supervision, exercising independent judgment and high
degree of resourcefulness and diplomacy. Takes the lead in prioritizing projects and working with
each individual assigned to them. Ensures that any request, issue, or open item is addressed on
time in accordance with the expectations of each of the parties involved. Manages access to the
Executive and conserves Executive’s time by avoiding unnecessary interruptions or distractions
and proactively taking proper steps to resolve any immediate issues or directing them to
appropriate staff or department as necessary.
Utilizes strong interpersonal skills by adhering to strong work ethic of character,
confidence, and commitment.
Maintains the highest degree of professionalism and confidentiality.
Facilitates all needs for the CEO/Executive within the organization .
Specific Responsibilities
• Managing complex, concurrent schedules of Executives including but not limited to
scheduling appointments, office meetings, arranging appropriate catering when needed.
• Planning all executive travel including agenda and itinerary, flight arrangements, lodging,
reserving ground transportation, planning business luncheons, scheduling dinner
reservations as needed.
• Scheduling and planning on-site and off-site meetings, interviews, and conferences for
the Executive(s) including but not limited to selecting appropriate venues, planning food
and beverage within budget, negotiating with properties, coordinating related travel
arrangements for Executive and attendees, and providing on-site support as needed.
• Managing the procurement of equipment and supplies for the Executive(s) necessary to
carry out their jobs.
• Drafting letters and any other correspondence as needed.
• Reviewing and managing invoices, expense reports, and confirming expense coding and
amounts prior to Executive sign-off.
• Attending meetings, taking notes, distributing minutes and assignments, and tracking
project deadlines by monitoring progress and results.
• Working independently with the ability to make informed decisions quickly.
• Compiling data and preparing papers for consideration and presentation by Executive(s).
• Assisting in presentations both preparing and delivering as needed.
• Creating and maintaining listings, files, forms, and documentation.
• Managing departmental time-off requests
• Traveling as needed.
