Due to the major layoffs in 2008 which affected many Project Coordinators

/ Executive Assistants like myself, I took the initiative to continue

SKILLS & QUALIFICATIONS

Provide Administrative & Project Coordination support to CEO, CFO, CTO,

CIO, EVP's and other management teams for various departments such as

Engineering, Warehouse, Construction and Real Estate. Liaise with high

profile clients, customers, global counterparts, management and staff.

Administrative

Provide support and training to Administrative staff and new associates in

office orientation as well as backup support to various dept Administrative

staff as needed. Able to multitask / manage multiple projects with ability

to complete projects thoroughly and on time.

Support communications needs by managing calendars (locally/globally),

answering phones and re-directing as needed; monitoring voicemail; and

maintaining customer database. Escalate issues that require manager's

immediate attention, maintain seamless meeting and travel schedules, plan

group events, while sustaining proficiency and efficiency in addition to

other aspects of job responsibilities.

Schedule, plan, and coordinates onsite/ offsite events and meetings,

including research and preparation of meeting materials. Coordinate meeting

logistics, including rates, location, catering, and transportation. Ensure

meeting attendees have appropriate meeting information, including

directions/maps. Prepare agendas and presentations, take notes, and

distribute meeting minutes. Track action items, communicate status. Meeting

set-ups include Webinar, Microsoft Live Meeting, presentation equipment,

and/or tele/video conferencing. Create presentations, maintain

organizational charts, create/organize Executive presentations for

Corporate Board Meetings, Strategic Planning and Budget Reviews.

Project Coordinator / Finance

Create & maintain Microsoft Project schedules for current projects during

R&D phase to market. Coordinate meetings, maintain minutes & action items.

Prepare & distribute monthly Executive Summary Report of global projects to

Executive Committee & Global leaders.

Analyze cost variance by comparing current budget plan against actual cost

to date. Resolve receiving / invoice discrepancies with Purchasing and

Vendor. Use project plans as a basis for maintaining and controlling

departmental expenses. Suggest opportunities for improvement & savings as

appropriate. Prepare finance delta presentation for quarterly budget

meetings. Create and manage project database, track project manhours and

cost used in conjunction with annual budget allocation. Gather, prepare and

review dept. quarterly goals. Work closely with all team members involved

in each project assigned locally & globally.

Credit / Collections

Review, setup customer request for Line of Credit based on company credit

history via Dun & Bradstreet reports. Responsible for contacting

delinquent customers to secure payment /schedule payment plans, print and

mailing monthly statements, review account histories with customers,

posting payments, credit memos and adjustments.

Engineering Assistant

Assist engineers with preparing and releasing specifications through

Document Control Process in conjunction with PMO software application.

Review specifications prior to document release; order ECO for changes as

needed. Assist with MarCom publication deadlines. Maintain Engineering

Technical Publication library for company. Manage 24 hour failure analysis

testing process, prepare failure reports and publish weekly.

Facilities / Safety Coordinator

Responsible for office space planning, workstation/lab area setup, computer

HW/SW requirements for new employees or relocation ensuring implementation

by IT, Maintenance/ Subs, etc in a reasonable time frame. Maintain space

planning/rolling summaries/location maps and directories. Create and manage

preventive maintenance schedules and timetables for building services.

Maintain archive library and files for building leases, maintenance

records, facility specifications, inspections, drawing and records. Assist

with company evacuation drills. Develop and distribute companywide safety

checklist for emergency evacuations during a fire/earthquake. Manage

department general relationship within Facilities and stay on top of issues

related to HW/SW tools, maintenance, inventory, upgrades, leases, purchases

etc. Assist IT/CAD with software beta testing

Human Resource / Payroll

Assist with recruitment of potential employment candidates, post

recruitment ads, receive and log new resumes, recruit at local job fairs,

schedule candidate interviews, conduct new hire orientations, process new

hire paperwork, process employee terminations. Assist with the facilitation

of employee benefit programs, employee relations, payroll and compensation

issues. Act as Employee Relocation & H1B Visa Coordinator for

new/transferring employees.

Process payroll. Manage record-keeping documents as necessary. Manage

sick/vacation/PTO logs. Manage Labor-tracking database for multiple depts.

Setup direct deposits accounts, notify bank to remove termed employee from

current payroll system as necessary.

IT Client Services

Review daily Remedy Software Help Desk IT trouble tickets ensuring

requests are responded to in a timely manner. Manage IT requirements for

US new hires (including hardware, software, account permissions, email

distribution lists and cell phone requests)

Responsible for maintaining email aliases, distribution lists, and shared

directories, including maintaining permissions. Manage information by

organizing and tracking various databases to generate reports. Manage

general department relationship with IT Dept via IT/Unix User Forums,

Manage Software License Agreements (SLA).

Legal

Maintain current, accurate files of Non Disclosure Agreements, Master

Service Agreements, Statement of Work, ICSAs and other legal documentation.

Administrative support to Corporate Legal Advisor. Organize litigation

documents. Draft and compose legal transcription and creation of client

correspondence including editing and proofreading as necessary. Prepare

case evaluations and deposition preparation packets. Maintain library of

proprietary documentation for reference. Monitor case status and procedure

reports and calendars.

Policy / Procedures

Develop and maintain company policies and procedures. Analyze and revise

existing administrative, operations and management controls including

standard practices, operating procedures, management systems, and reporting

documentation. Maintain standards for SOX compliance.

Procurement

Prepare Purchase Order Requisitions for US and Canada. Review purchase

order for proper authorization, coding and consolidation. Obtains quotes,

negotiate pricing, terms and conditions. Resolve problems with incorrectly

billed invoices, incorrect shipments, backorders and returns.

Construction

Provide Office Management support to Construction firm. Provide project

coordination, including information flow between office, field, vendors and

general contractors. Manage daily customer calls, schedule / dispatch

appointments as needed. Coordinate job start/job close.

Prepare Proposals, Bid presentation, Pre-qualifications. Process incoming

request for quotes & submittals. Perform contract reviews. Set-up Purchase

Order requests, contracts, and project files. Accept payment of service

fees. Manage advertisements, operation accounts, supplies, faxing, copying.

Manage project hours and budget. Process HUD payroll, Work with City

officials/General Contractor and other PMs for inspections and change

orders.

Maintain corporate contractor license status, workers compensation, bond

and general liability insurances. Update license information to all city's

that Corporate holds a license as well as home warranty companies,

suppliers and manufacturer service provider depts.

Trade Show / Exhibitor

Coordinate tradeshow events, negotiate booth fees, booth location, generate

& order advertisement & literature. Coordinate transport of exhibit

displays from manufacturers/office to and from tradeshows. Attend shows as

needed.
