Meeting Rooms

Responsible for overall Meeting Rooms Services.

Looking after the services as tea/coffee, snacks, etc.

Arranging the working lunch, special lunch, etc in the meeting rooms.

Cafeteria Services

Overall responsible for smooth functioning of the Cafeteria.

Looking after the cafeteria equipments as, Ban Marie, Dish-washing machine, Micro-oven, Freezers, Crockery, Cutlery, etc.

AC Services

Plumbing/Carpentry

Supervising all the plumbing repair/maintenance work, PPM Activities.

Guest House

Processing requests for guest house services for outstation employees as per their grade/level.

Coordination/dealing with the guest house vendor for all services as room services, meal arrangement, laundry services, etc.

Taking feedback from the employees for improvement in guest house services.

Audio/Video

Supervising the audio/video services as Video conference equipments, audio equipments, projectors, PA Systems, etc in the

board/meeting rooms.

Responsible for telephone services, EPABX, etc inside the facility.

Dealing with the vendors for all the PPM Activities.

Dealing with the operators as BSNL, MTNL, Ariel, Siemens, and Reliance for the timely and smooth services.

Security

Responsible for overall security of the facility.

Supervising the security services of the premises as visitors log in/out, vendors log in/out, material in/out, etc.

Dealing with the security agencies related to security services inside the premises.

CCTV surveillance for all the in/exit points, UPS/Server Room, all critical areas on daily basis.

Surveillance of all the in/exit points, UPS/Server Room, all critical areas through Access Control System.

Issuance of Access Cards, activation/deactivation access cards, etc.

Conducting periodic audits of access cards, generating reports for access control system, etc.

Responsible for proper upkeep and maintenance of Fire Control System in the facility.

Coordinating and dealing with the Vendors for PPM activities for CCTV System, Access Control System, Fire Control System,

etc.

Organizing mock drill in coordination with the building security on periodic intervals.

VENDOR MANAGEMENT

Annual Maintenance Contract (AMC)

Seeking quotes, negotiations, raising requests, etc for AMC Services of CCTV System, Access Control System, EPABX

System, Packaged AC Units, Audio/Video Equipments, Ban Marie, etc.

Dealing with the vendors for the PPM Activities, repair/maintenance work for all the equipments covered under the AMC.

Processing the vendors’ invoices for AMC Services as per terms of the payments.

Rate Contract (RC)

Seeking quotes, negotiations, raising requests, etc for Rate Contract Services for the services as supply of housekeeping

consumables, toiletries, pantry consumables, tea/coffee vending machines, water supply, RO Systems, printed stationary,

stationary, electrical/plumbing/carpentry consumables, civil maintenance work, carpet/chair shampooing, etc.

Civil/Maintenance Work

Taking daily round of the facility, generating daily snag report, maintaining daily tracker for all the civil maintenance work in

the facility.

Dealing and coordinating with the vendors for all the civil maintenance work in the facility.

Lease Agreement

Initiating the lease agreements for the facility, branches, etc and getting it signed by the lesser.

Coordinating and dealing with the lesser for all the related services, timely invoice submission, timely payments, etc.

Service Agreement

Initiating service agreements with Housekeeping agencies, Electro-mechanical service providers, security agencies, all the

service office service providers, etc and getting it signed by the service providers.

Dealing and coordinating with the all the service providing agencies for timely agreements.

Liaison

Liaison and coordinate with Govt Bodies as Labour Department, Local Police, EPF Office, ESI Office, etc.

OFFICE MANAGEMENT

Provisioning

Actively involved in the provisioning/budgeting for all the facilities/admin related services.

Ensuring all the facility/admin expenses are covered in the provision/budget.

Initiating the cost-cutting activities for all the facility/admin related expenses.

MIS/Reports

Generating Daily Report, Weekly Report, Monthly Management Report, Daily Facility Tracker.

Generating MIS for all the facility related services.

Making presentation for all facility related services on monthly basis and presenting to the management.

Payments

Dealing and coordinating with all the service providers, vendors, etc for timely submission of invoices/bills.

Checking, verifying and processing all the invoices/bills related to admin/facilities.

Coordinating with the Finance team for timely payments of all the service providers, vendors. Intimating vendor’s status of

their payments.

Compliance

Looking after the Lease Agreements, Services Agreements, Labour Licenses, etc of the sub-contractors.

Maintaining the Resumes, Police Verification, ESI, EPF, etc records of the Vendors’ staff.

Ensuring the timely payments of all the vendor staffs as per the minimum wages.

Coordinating with the external/internal sources for the timely compliance audit.

Ensuring all the statutory compliance are being followed up in the facility.

Displaying shop establishment certificate, Minimum Wages instructions, Maternity/paternity benefits, Important/emergency

contact nose, Registration Certificate, work permit for vendors, sub-vendors, etc at the Reception.
