Tax Season Administrative & Processing Specialist
NOTE: To Be Considered: You must currently reside in a commutable distance to Boston as this temp role through tax season and is 100% onsite.
Position Overview
We are seeking a highly organized and detail-oriented Administrative and Processing Specialist to provide critical support during the tax season (January through April). This role manages the entire lifecycle of client tax documentation, from initial distribution to final tax return assembly. The ideal candidate thrives in a fast-paced, high-volume environment and is comfortable handling both electronic and paper workflows.
Key Responsibilities
1. Document Management & Preparation (Organizers & Returns)
Client Organizer Management: Prepare and distribute physical or electronic tax organizers to clients. Upon receipt, gather all documents, accurately scan, bookmark, and electronically send the complete package to the tax preparation department.
Document Scanning & Indexing: Perform high-volume scanning of client tax documents; accurately "bookmark" (sort/index) electronic files to ensure documents are properly categorized and routed to the correct Tax Prepper.
Tax Return Assembly: Assemble finalized tax returns for client delivery, managing both paper assembly and electronic delivery (approximately 80% electronic delivery).
Mailing & Logistics: Manage all physical distribution, including printing and assembling paper organizers/returns. Utilize shipping programs to create FedEx labels and certified mail documentation.
2. Specialized Processing & Data Entry
1099 Processing: Operate new dedicated tax software (HubSync) to accurately input and process numbers for the preparation and distribution of 1099 forms.
Perform various in-office clerical duties to support the accounting and tax teams.
Candidate Profile & Qualifications
Experience: Preference given to candidates familiar with the accounting or financial services industry, though this is not strictly required. Proven experience in administrative, clerical, or office support roles is essential.
Technical Proficiency:
Experience using professional document and workflow management systems is required.
Familiarity with our core systems is a plus: XCM (Access workflow) and DocuMent.
Ability to quickly learn and utilize new software (e.g., HubSync for 1099 processing).
