As a Traffic Operations Staff Assistant on our team in Ocoee, Florida, you'll perform a wide variety of administrative and staff project support services. We'll lean on you for a variety of important tasks to keep our team humming right along as an integral part of our success together as a team.
Key Responsibilities, But Not Limited To:
• Attend meetings and create meeting minutes
• Track and follow up on action items
• Draft and send emails or memos
• Schedule meetings and manage calendars
• Manage Traffic Operations outlook email groups
• Update Traffic Operations Phone List
• Assist with document formatting (Word - templates)
• Maintain digital filing systems (SharePoint)
• Cleanup SharePoint
• Migrate files from Traffic Operations Server to SharePoint
• Announce New Hires and Promotions to SharePoint
• Update bulletin boards
• Act as Traffic Operations Record Custodian, ass requested.
• Perform Once a year inventory of document retention
• Assist with project tracking and updates (Planner)
• Compile Traffic Operations program documentation (Word - Annual Reports, Monthly Reports, Weekly Reports, etc.)
• Monitor deadlines and deliverables (Follow-up & Reminders)
• Help schedule interviews
• Order office supplies and manage inventory
• Order Jacobs office/breakroom supplies and manage inventory (Ft Pierce, SunTrax, Ocoee - coordinate with Khalea for Pompano)
• Process expense reports and invoices
• Support onboarding/offboarding processes
• Maintain the Jacobs staff PTO schedule
• Notify Management of PTO conflicts.
• Arrange Traffic Operations monthly lunches (coordinate with AECOM)
• Arrange Jacobs special events
• Distribute Jacobs swag/Bingo cards, etc.
• Send Weekly Reminder Emails: Timesheet, Vehicle Inspection, BZO
• Manage Jacobs Pool Vehicle Logs and Maintenance (including vehicle washes)
• Support HR-related communication

Here's what you'll need
• 3-5 years of professional experience in Administrative and Project Support.
• High School graduate or equivalent GED required. We may accept specialized training or education in lieu of this education requirement.
• Proficiency in Microsoft Office Products.
• Valid Driver's license.
Ideally, You'll Also Have:
• AA Degree
• Experience supporting larger teams within a Consulting firm.
• Excellent communication skills; both written and verbal.
• Team player.
• Excellent organizational skills.
• Self Starter.
• Positive, Can Do Attitude
Posted Salary Range: Minimum
40,800.00
Posted Salary Range: Upper
49,920.00

The base salary range for this position is $40,800.00 to $49,920.00; though will be paid hourly based on hours worked. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
