DeliverIt Group is seeking a warm, professional, and initiative-driven individual to join our corporate team as our Front Desk & Administrative Coordinator — the Ambassador of First Impressions.
This position is ideal for someone who thrives in a fast-paced, people-centered environment and takes pride in being both the welcoming face of the company and the organizational heartbeat that keeps things running smoothly. You’ll play an integral role in supporting our corporate office functions while providing high-level administrative assistance to the Executive Assistant to the CEO and leadership team.

Core Functions
Exercise sound decision-making skills to manage assigned tasks and work autonomously with confidence.
Demonstrate strong communication and collaboration skills while supporting personnel, management, and clients.
Apply organizational excellence to maintain order, coordinate priorities, and ensure executives attend appointments and meet key deadlines.
Use clear and professional writing skills to draft and edit emails, letters, reports, and other communications that reflect DeliverIt Pharmacy’s brand identity.
Perform data entry and record management using Excel, Google Sheets, or Typeform with attention to accuracy and confidentiality.
Maintain proficiency in Microsoft Office and Google Workspace to support cross-functional initiatives.
Manage calendars, schedules, and meeting logistics efficiently.
Demonstrate familiarity with office procedures, technology, and customer service principles to ensure daily operations run seamlessly.
Handle confidential and sensitive information responsibly, upholding trust and professionalism at all times.
Duties and Responsibilities
Serve as the first point of contact—answering phones, greeting visitors, and ensuring a welcoming atmosphere.
Schedule appointments, coordinate meetings, and maintain calendars for corporate leaders.
Collect, sort, and distribute incoming and outgoing mail.
Prepare and format professional communications including memos, emails, invoices, and reports.
Write and edit letters, internal communications, and instructional documents.
Create and maintain both electronic and physical filing systems for easy retrieval and organization.
Assist with data entry, reporting, and light analysis.
Support event planning and coordination, including meetings and employee engagement activities.
Order and maintain office supplies and inventory.
Occasionally, manage travel arrangements for leadership.
Take initiative in other administrative projects as business needs evolve.
Requirements:
Qualifications
Associate’s degree or higher required.
Bilingual in Spanish required.
Minimum 2 years of administrative experience in a professional setting.
Excellent written and verbal communication skills.
Ability to manage multiple priorities simultaneously with grace and efficiency.
Team player with a cheerful, positive, and solution-oriented attitude.
A strong sense of initiative, integrity, and reliability.
