Role Description
We are seeking a self-driven, detail-oriented, and energetic professional to serve as the Marketing and Administrative Coordinator to join our 12-person creative and mission-driven architectural practice. This position is ideal for a detail-oriented and design-savvy professional who enjoys balancing creative marketing work with coordination that keeps an office running smoothly.
This role focuses on marketing and graphic design tasks, as well as office management and administrative support. The position reports to the Director of Marketing, Office Manager, and the Principals of the firm.
This is an excellent opportunity to grow within a collaborative studio.
Key Responsibilities
Marketing & Graphic Design ( 80%)
Execute marketing initiatives and campaigns under the direction of the Director of Marketing and firm Principals.
Design and produce high-quality proposals, presentations, brochures, project sheets, and digital assets following brand standards
Maintain and refine branded templates and visual identity standards across print and digital media.
Assist with website updates, social media, and e-newsletters distribution.
Organize and maintain marketing assets including photography, project descriptions, resumes, and past submissions
Track RFPs/RFQs and potential project leads from public and private sources and assist in preparing qualification packages.
Prepare award submissions and coordinate firm participation in industry events.
Support the planning of client and business development events.
Assist with business development tasks such as research, partner coordination, and light CRM updates
Office & Administrative Support ( 20%)
Help maintain the day-to-day operations of the office, including supplies, mail, vendors, and event logistics.
Support HR-related tasks such as onboarding, maintaining records, and internal communications.
Assist with light bookkeeping and expense tracking.
Coordinate internal meetings and staff events.
Serve as a friendly, reliable point of contact for visitors, clients, and consultants
Help ensure the office environment is well-organized and reflects OZ Collaborative’s professional, creative and welcoming culture.
Qualifications
2-5 years of professional experience
Strong graphic design skills with a sharp eye for layouts, typography, and visual consistency.
Proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator, Lightroom).
Excellent written, verbal, and visual communication skills.
Proficiency with Microsoft Office
Familiarity with social media platforms, scheduling tools, and basic website CMS updates (Squarespace preferred).
Highly organized and detail-oriented, with the ability to prioritize and manage multiple tasks in a deadline-driven environment.
Bachelor’s degree in a relevant field (Marketing, Business Administration, Communications, Graphic Design, or similar) and/or previous experience in an architecture, design, or professional services firm is preferred
Preferred Skills
Experience within an architecture, interior design, engineering, or creative professional services environment
Basic photography/photo editing experience
Experience with CRM or marketing/project database tools
Familiarity with proposal development, RFP/RFQ processes, and qualifications packages
Experience supporting office operations, vendor coordination, or HR/administrative task
Interest in architecture, design, sustainability or the built environment
