Request for Proposal for Development of a Client Fee and Salary Calculation Tool or Spreadsheet for Home Caregiving Services for HOME CAREGIVING BUSINESS Introduction In the evolving landscape of home caregiving services, businesses are tasked with ensuring efficient client management and accurate fee calculations.

To that end, we are seeking proposals from qualified consultants to develop a spreadsheet or application that facilitates the calculation of client fees and caregiver salaries based on several criteria.

Objective The primary objective of this Request for Proposal (RFP) is to acquire a specialized tool–likely in the form of a spreadsheet–that provides accurate and efficient fee calculations for our caregiving services and, at the same time, calculates a caregiver’s salary.

This tool or spreadsheet should be designed to cater to our unique business requirements, accommodating various factors such as the type of care requested, the duration of service, additional services like nighttime care, and transportation costs incurred for caregiver travel.

We are NOT looking for a complex tool, but a basic tool or spreadsheet that can provide basic client pricing and caregiver pay based on inputs we will provide.

Scope of Work 1.

Client Needs Assessment: The tool must allow for nuanced input reflecting client needs.

This includes assessing the type of care, which may range from basic companionship to specialized medical assistance.

Type of Care Requested: A variety of caregiving services will need to be accommodated within the application.

The consultant shall categorize services for straightforward selection during the fee calculation process.

Duration of Care: The tool must incorporate functionality for inputting the duration of care, which could vary from a few hours to extended periods such as daily, weekly, or monthly services.

It may also distinguish between “live-in care” and “stay-out care.” 4.

Extra Services: Inclusion of options for additional services required by clients, such as nighttime care, specialized or my complex care, should be clearly delineated, allowing for automatic calculations of any added costs.

Transport Cost Calculation: Accurate transport cost calculations based on the caregiver's distance to the client’s location are essential.

This may involve integrating mapping and distance calculation functionalities to ascertain transport expenses.

Transport may be optional, and the tool or spreadsheet should also offer an alternative, such as a basic weekly or monthly extra transport fee input as opposed to distance/rate calculations.

Caregiver Salary Computation: The tool should allow for the calculation of caregiver salaries based on input pay rates, ensuring compliance with applicable labor laws and fair compensation practices.

Deliverables Upon project completion, the selected consultant will provide: - A fully operational spreadsheet or application capable of performing the specified calculations.

- Documentation detailing the tool's functionalities and a brief user guide, and one hour of training for two users.

Proposal Submission Guidelines Proposals must include: - A statement of work detailing the consultant’s approach to the project.

- An estimated timeline for project completion.

- The tool or spreadsheet should show pricing and caregiver pay in both US Dollars USD) and Costa Rican colones (CRC), with an ability to change the exchange rate.

- A budget outlining costs associated with development, implementation, and support.

- Portfolio samples or case studies showcasing relevant experience in developing similar tools.

Selection Criteria Proposals will be evaluated based on: - Demonstrated experience and expertise in creating user-friendly calculation tools.

- Understanding of the home caregiving sector and its specific financial considerations.

- Cost-effectiveness and value for money.

- There will be at least two review cycles and changes/feedback provided before the project is officially finished.

- Proposed timeline and milestone clarity.
