What You’ll Do as an Administrative Professional 2:
Under general supervision of the Program Administrator 2, within Emergency Medical Services (EMS) Certification section, relieve superior of routine administrative duties related to the certification process:
Receive all EMS & fire service provider, instructor, reciprocity applications, extension requests, & exemption requests; Enter applications into database & process approved reciprocity & reinstatement applications;
Answer incoming calls; Make outgoing calls to applicants to request additional information;
Independently provide explanation orally &/or in writing of services & activities of EMS programs & respond to verbal &/or written inquiries regarding certification procedures;
Assist customers with navigating the Division of EMS webpage to obtain information;
Utilize Microsoft Word mail merge to create form letters;
Utilize internet applications to retrieve data & conduct research;
Maintain confidentiality of certification-related documents & information in accordance with applicable state & federal laws;
Draft & review written correspondence;
Notify applicants, written &/or verbally, of problems with applications;
Maintain files of certification applications & related documents & correspondence; Prepare documents for long-term maintenance in accordance with record retention schedules;
Research & respond in writing &/or orally to inquiries about the certification program & other EMS programs from applicants & the general public;
Review eligibility requirements for EMS reinstatement exams & exams in lieu of continuing education;
Create & manipulate data utilizing Microsoft Excel;
Assist with committee activities (e.g., sending meeting notices, typing meeting agendas, taking & preparing minutes, copying meeting materials, etc.);
Perform other related duties as required (e.g., work on special assignments & projects; prepare memos & presentations for dissemination within the work units; act as back-up Administrative Professional to the other sections within EMS, etc.).

18 mos. exp. or 18 mos. trg. in secretarial/administrative professional field.
-Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.
