JOB SUMMARY:
The Groups Sales Coordinator position is responsible for overseeing all sales aspects of Weddings, Day Groups and Corporate Group business, both summer and winter. Group business is defined as 20+ people. This position will work with the various groups/guests from the planning stage of the booking, through to the follow up after departure
REPORT CHAIN: Sr Sales Manager
DURATION: Full Time – Year Round
PRIMARY DUTIES & RESPONSIBILITIES:
•Work with the Food and Beverage department with the coordination of menus for weddings, groups and corporate groups that cater to the unique aspects of each event.
•Continue to develop a strong social media and marketing presence for all areas
•Plan and coordinate summer and winter weddings with all required departments from grooming, lodging and food and beverage.
•Plan and coordinate summer and winter group day and corporate business to allow for maximum utilization of mountain assets across all lines of business; rentals, SnowSports bike school, tube town, lift access, venue, transportation and accommodation (20+ people)
•Customer, Trade and Travel and Wedding Show attendance in key markets.
•Working closely with the Regional, Destination and Local Sales Managers to increase sales opportunities in all market segments.
•Host site tours with guests through accommodation, ceremony locations, and reception venues. Continuous correspondence with wedding clients leading up to and on their wedding date, while adhering to all deadlines
•Be available to the wedding party, on the day of, as point of contact.
•Manage group room blocks
•Meet & greet the groups on day of arrival
•Function sheet to all internal players on distribution list
•Book all meeting spaces for external paying guests, and internal department use
•Respond to e-mails and booking requests
•Provide required set-up for meetings
•Coordinate the cleanliness, set-up, group signage for all NATC bookings
•Communicate with Front Desk of SilverStar accommodation on group arrivals, prepare check-in packages, and ensure all tickets delivered and accurate.
•Prepare group arrival and itinerary information and communicate with necessary departments.
•Liaisons with the Group Leader throughout their stay to ensure all guest needs and/or any concerns are dealt with in a timely and professional manner. Meet with as many group arrivals in person.
•Ensure the Team Up calendar is up to date, and all required departments have access.
•Processing payments, applying payment to Maestro, and Maestro adjustments.
SKILLS REQUIRED
•Minimum two years of experience in a sales and service role.
•Post-secondary education in a related discipline or equivalent experience.
•Strong customer service skills, enthusiastic team building, and leadership skills.
•Excellent communication and presentation skills.
•Analytical approach to process improvement.
•Strong organizational and time management skills.
•Computer literate with proficiency in Microsoft Office and POS systems.
