Description We are looking for a dedicated and detail-oriented Front Desk Coordinator to join our team on a contract basis in Columbus, Ohio.
In this role, you will be the first point of contact for visitors, manage incoming calls, and handle a variety of administrative tasks to ensure the smooth operation of the office.
The ideal candidate is organized, attentive to detail, and skilled in multitasking.
Responsibilities: - Greet visitors warmly, provide necessary information, and direct them to the appropriate location or personnel.
- Operate a multi-line phone system to screen, transfer, and manage incoming calls, ensuring prompt and clear communication.
- Draft, edit, and distribute various types of correspondence, including memos, letters, and labels.
- Manage incoming and outgoing mail, including preparing packages for courier services and maintaining the postage meter.
- Maintain the cleanliness and organization of the office kitchen, including operating and emptying the dishwasher daily and ensuring supplies are stocked.
- Monitor and replenish general office supplies to ensure availability for staff.
- Collect, verify, and organize bills of lading (BOLs) for record-keeping purposes.
- Provide clerical support to office management, including filing, organizing storage areas, and maintaining systems.
- Assist in setting up meeting spaces and ensuring they are clean and prepared for use.
- Maintain a safe and tidy work environment, reporting any equipment malfunctions or safety concerns to the supervisor.
Requirements - Minimum of 1 year of experience in a front desk or receptionist role.
- Proficiency in operating multi-line phone systems and handling high call volumes.
- Strong ability to draft and manage detailed correspondence.
- Experience in managing mail distribution and preparing outgoing packages.
- Skilled in organizing and maintaining filing systems and office supplies.
- Exceptional interpersonal skills to interact with visitors and staff effectively.
- Ability to multitask and prioritize tasks in a busy office environment.
- Detail-oriented with a commitment to maintaining a clean and organized workspace.
