We are looking for a highly organized and detail-oriented Administrative Coordinator to join our team in Columbus, Ohio. In this contract to permanent position, you will play a key role in supporting leadership, managing administrative tasks, and ensuring the smooth operation of daily office functions. This role requires a proactive individual who thrives in a dynamic environment and can handle confidential information with discretion.

Responsibilities:

• Provide comprehensive administrative support to the President, including managing schedules, arranging travel, and coordinating meetings.

• Collaborate with the leadership team to organize and attend meetings, ensuring all logistical needs are met.

• Oversee office operations by managing supplies, tracking budgets, and handling daily mail sorting and distribution.

• Assist with board and committee meeting preparation, including creating agendas, distributing materials, tracking attendance, and taking minutes.

• Coordinate and execute event planning tasks to ensure successful and seamless events.

• Maintain and organize important documents and data using the organization’s electronic document management system.

• Facilitate the onboarding process for new team members, including preparing necessary paperwork and scheduling performance reviews.

• Produce organizational newsletters by gathering content and coordinating with leadership and staff.

• Cover the front desk as needed and interact courteously with staff, vendors, and the public.

• Take on special projects and additional responsibilities as assigned to support organizational goals.• A minimum of 5 years of experience in administrative support or a related role.

• Proficiency in calendar management, scheduling, and handling travel arrangements for executives.

• Strong organizational skills with experience in managing office supplies and budgets.

• Adept at handling confidential information and maintaining a high level of discretion.

• Excellent written and verbal communication skills, including experience distributing meeting minutes and coordinating newsletters.

• Ability to manage multiple tasks simultaneously while maintaining attention to detail.

• Prior experience with data and document management systems.

• Comfortable interacting with senior executives, staff, vendors, and external stakeholders while demonstrating attention to detail.
