Job Summary and Scope:
Support Nakilat by efficiently carrying out telephone operator responsibilities, handling emergency contact statements and directing Nakilat Visitors.
Key Accountabilities:
Answer, redirect and place calls as requested. Take and pass on messages as appropriate. Provide basic company information to callers, as and when necessary.
Record and update messages appropriately.
Maintain call logs and reconcile with monthly phone bills and forward the same to finance department for invoicing payment
Ensure that any problems experienced with the telephone system are dealt with immediately to minimize down-time.
Maintain internal company telephone directory which includes recording changes in personnel location and telephone numbers, and providing information periodically.
Maintain emergency/disaster procedure protocols.
Visitor Assist:
Assist the Security Guard in keeping records of visitor/guests passes.
Greet and assist Nakilat visitors by determining the nature of visit, providing information where possible and director visitors to pre-arranged appointments.
Ensure visitors are referred to security for visitor pass.
Security Assist:
Ensure the security guards carry out their duties and ensure proper recording of visitor/guest passes.
Review of nightshift/dayshift security logs and report any issues concerns or discrepancies.
Report any reception or security related incidents.
Qualifications:
Diploma in Secretarial Studies, Business Studies, Business Administration or in a related field.
Experience:
0- 2 years of related experience
Job Specific Skils:
Excellent English language skills.
Fluency in Arabic
Excellent customer services skills.
