Job Summary
The Client Support Specialist (CSS) plays a crucial role in ensuring the smooth operation of Dakota Woodlands' daily activities. As the welcoming face of the organization, this position is responsible for creating a friendly and professional environment for clients, visitors, and staff members. The CSS is responsible for a variety of tasks, including client interactions, front desk management, administrative duties, and facility maintenance. With a strong focus on customer service, this role supports the mission of Dakota Woodlands by fostering a safe, organized, and respectful environment for all.
Areas of Responsibility
Front Desk Operations:
Serve as the first point of contact for clients, visitors, and staff.
Greet clients and visitors warmly, fostering a professional and compassionate environment.
Answer phone calls, respond to inquiries, and route communications appropriately.
Monitor and manage client entry and exit to ensure adherence to facility policies. Client Support:
Assist clients with routine needs, including information about services and resource access.
Provide respectful guidance to clients navigating the facility.
Address and report client concerns to appropriate team members. Administrative Tasks:
Maintain accurate client interaction records and other required documentation.
Assist with administrative functions, such as filing, data entry, and supply management.
Contribute to organizational projects and initiatives as needed. Facility Maintenance:
Support the upkeep of a clean, organized, and safe environment for all.
Perform routine tasks like tidying common areas and restocking supplies.
Report maintenance needs to designated personnel. Team Collaboration:
Coordinate with staff to deliver efficient client support services.
Participate in team meetings, training, and professional development opportunities.
Promote a positive and inclusive work environment. Other Duties:
Perform additional responsibilities assigned to meet the needs of Dakota Woodlands as assigned by the Director of Operations.
Ensure procedures are followed and proper documentation and communication is adhered to while ensuring the safety of clients and staf Qualifications:
High school diploma or equivalent; coursework in social work, human services, or related fields is a plus.
Experience in customer service, front desk operations, or similar roles (preferably in a nonprofit or social service setting).
Strong interpersonal and communication skills, with an ability to work effectively with diverse populations.
Empathetic and patient demeanor, maintaining discretion in sensitive situations.
Reliable and organized with attention to detail.
Proficiency in basic computer applications, including Microsoft Office and data entry systems.

Work primarily performed at the front desk in a client-focused environment.
Requires sitting or standing for extended periods and cleaning duties.
May involve lifting items to 25 pounds.
Exposure to sensitive situations requires empathy and professionalism.
Regular use of computers and telecommunication equipment. Working Conditions
Shift Hours: 11 pm - 7 am, Tuesday - Saturday
Full-time position requiring occasional evening and weekend work for events and meetings.
Work primarily performed at the front desk in a client-focused environment.
Requires sitting or standing for extended periods and light cleaning duties.
May involve lifting items to 25 pounds.
Exposure to sensitive situations requires empathy and professionalism.
Regular use of computers and telecommunication equipment.
