HOURLY RATE: $14.95-$19.33 per Hour

POSITION SUMMARY:

The intent of this essential position is to provide front-line customer service to all agency visitors by staffing the receptionist area, provide data entry support, and administrative support for staff when needed. The Patient Access Representative is responsible for the front office/receptionist operations and providing general clerical support. The Patient Access Representative is often the first point of contact for all phone/in-person visitors. ESSENTIAL JOB FUNCTIONS: Essential functions of the job include, but are not limited to providing customer service filing, sorting, coordinating mail, utilizing a computer for data entry, conducting research, interacting with others, coordinating multiple schedules and proofreading. MAJOR AREAS OF RESPONSIBILITIES:

Oversee the operations of the receptionist duties, including but not limited to, greeting in-person visitors and answering incoming phone calls

Manage office by ordering supplies and maintaining office equipment

Schedule patient appointments for counseling and other programs, as necessary and appropriate

Collect information from the patient when they arrive, this includes, demographics, insurance, sliding fee and any copays due, if applicable

Update patient information on an as-needed basis, if applicable.

Provide assistance to office staff as needed, including tracking of various items and maintaining data in computer; Prepare reports based on data

Coordinate back up staffing for front-end/reception services

Work with IT to set up technology as needed for meetings and new staff

Courier mail between offices, if applicable

Assist staff with mailing needs, including sending and tracking mailing and sorting and ensuring proper delivery of mail/packages to appropriate staff

Organize and maintain meeting rooms and lobby magazines, pamphlets, and other materials

Ensure that the office is kept tidy and work with appropriate staff as cleaning or other services are needed

Responsible for scheduling conference rooms and meetings, including the use of space for external groups

Write/draft and type correspondence, reports, minutes, newsletters, and other documents

Participate in department and agency projects as assigned

Coordinating client care, as necessary, to link patient with the most appropriate service EDUCATION/LICENSURE:

High School degree or equivalent Knowledge, Skills, Abilities and other Qualifications:

Minimum of two years of similar experience preferred

Strong oral and written communications abilities, including drafting correspondence.

Experience with and ability to provide high quality customer service.

Must be courteous, friendly and customer-focused.

Experience with data collection and data entry

Ability to operate a multi-line telephone system.

Must have strong time-management skills and ability to manage multiple projects and tasks.

Must have excellent typing and database entry skills along with good communication and writing skills.

Experience and proficiency with a range of computer software and platforms, including MS Outlook, Word, and Excel.

Must have sensitivity to, interest in and competence in cultural differences, HIV/AIDS, minority health, sexual practices, and a demonstrated competence in working with persons of color, and gay/lesbian/bisexual/transgender community.

Must be able to maintain individuals’ confidentiality.

Reliable transportation, driver’s license and proof of auto insurance required.
