Position Title: Printing Services Manager
Reports To: Assistant Superintendent of HR & Operations - and/or Superintendent, as designated
Position Summary
The Printing Services Manager oversees all print and mail operations to ensure high-quality, cost-effective results that meet work order specifications. This role manages production workflow, staff, and equipment while maintaining safety, efficiency, and fiscal responsibility.
The Manager monitors budgets, paper stock, click rates, and postage; provides price quotes; and oversees the procurement of materials and supplies. The Manager implements process improvements, advises customers on economical and time-efficient project options, and ensures compliance with postal regulations. In collaboration with the District Business Department, the Manager helps negotiate equipment leases and upholds the district's brand through excellent service and operational integrity. This position plays a vital role in supporting the district's mission by ensuring timely, high-quality printed materials and mail services that enhance communication, instruction, and community engagement. Education Level, Experience, and Certification(s)
Education Level:
Associate's degree in Printing Technology, Graphic Communications, Business Administration, or a related field required.
Bachelor's degree preferred. Equivalent combination of education and relevant experience may be considered. Experience:
Minimum of five (5) years of progressively responsible experience in printing, production management, or related field. Preferred Qualifications:
Experience supervising staff and managing budgets in a print or mailroom environment.
Experience with digital and offset printing equipment, print management software, and postal regulations.
Experience with various binding-finishing equipment, such as saddle stitch and spiral-binding machines.
Familiarity with specific equipment such as the C810 digital production color press, Xerox Nuvera 288 digital monochrome production press, and Xante envelope machine. Key Responsibilities
Management and Fiscal Oversight
Oversee all print and mail operations to ensure efficiency, quality, and fiscal responsibility.
Supervise and schedule Print Shop and Mail Room staff, ensuring effective workflow and project prioritization.
Maintain budgetary oversight, including paper stock, click rates, postage, and overall operational expenses.
Manage billing, invoicing, and monthly chargebacks for production and postage.
Prepare and process purchase orders and vendor payments in a timely manner.
Implement procedural improvements to enhance efficiency and service delivery.
Collaborate with the District Business Department to negotiate equipment lease contracts and manage service agreements. Production and Inventory
Oversee the full print production process to ensure high-quality output that meets client specifications.
Operate production equipment, perform preflight checks, and resolve file or PDF issues as needed.
Anticipate seasonal workflow fluctuations and plan accordingly.
Manage equipment maintenance, including placing and tracking service calls.
Order and maintain paper and supply inventory for the print shop and district service center.
Monitor and manage procurement of all materials used in production.
Oversee document destruction. Customer Service and Communication
Provide responsive and professional customer service through phone, email, and in-person interactions.
Offer price quotes and guidance to clients on cost-effective, time-efficient print and mail solutions.
Maintain strong customer relationships and uphold the district's brand through high-quality service and attention to detail.
Balance customer satisfaction with fiscal responsibility and operational capacity. Mail and Logistics
Oversee mail operations, including processing U.S. Mail, bulk mailings, and internal district distribution.
Manage postage accounts and ensure compliance with postal regulations.
Coordinate shipping and receiving activities (UPS, FedEx, Amazon, etc.).
Supervise document destruction and ensure secure disposal of district materials. General Duties
Maintain cleanliness and organization of the print shop and mail areas (sweeping, vacuuming, emptying trash, etc.).
Remain available for after-hours, early-morning, or late-day work as needed, including snow days or high-volume periods.
Safeguard confidential and sensitive materials in accordance with district data-security protocols, including overseeing document destruction.
Implement environmentally responsible practices in paper use, recycling, and print production to support district sustainability goals.
Demonstrate flexibility and commitment to meeting operational needs. Other Skills and Abilities
Proven ability to lead independently and take initiative in a fast-paced environment.
Strong customer service and relationship management skills.
Experience managing vendors and negotiating contracts.
In-depth knowledge of paper types, print equipment, and postal regulations.
Ability to balance multiple priorities while maintaining attention to detail and quality.
Clear verbal and written communication skills. Working Conditions / Physical Requirements
Work is performed primarily in a print shop and mailroom environment with regular exposure to noise, paper dust, and machinery.
Requires frequent standing, walking, bending, reaching, and lifting up to 60 pounds.
Must be able to operate and maintain various printing, finishing, and mailing equipment safely and efficiently.
May involve extended periods of computer use, as well as repetitive hand and arm motions.
Must be available to work during inclement weather or on district closure days, as required for essential operations.
