Position Objective

The Assistant Program Director (APD) is a mid-level management role that directly supports the Program Director in the overall coordination and implementation of VietHope’s core programs. This position is designed to assist the Program Director in executing strategies, overseeing operations, managing program teams, and handling critical tasks related to partnerships, program systems, and organizational coordination.

Detailed responsibilities are outlined below.

KEY RESPONSIBILITIES

1. Program Operations

- Support the Program Director in coordinating program operations to ensure activities are executed effectively and in line with organizational goals.

- Provide regular feedback and technical support to Program Managers and Program Coordinators, as assigned, to improve implementation quality.

- Coordinate with relevant departments (Finance, Logistics, Communications, Technology) to ensure smooth operations, proper resources, and timely support for all program activities.

2. Program Strategy, Evaluation & Improvement

- Collect and analyze data (M&E, surveys, internal and external feedback) to assess program effectiveness and impact.

- Under the direction of the Program Director, propose adjustments to program strategy or structure and develop Standard Operating Procedures (SOPs) to improve consistency, efficiency, and implementation quality.

- Prepare short strategic reports (e.g., impact summaries, assessment briefs) to support data-informed decision-making by the Program Director.

3. External Relations & Partnership Support

- Assist in drafting and reviewing key documents such as official letters, MOUs, partnership agreements, and correspondence with donors and government agencies.

- Attend or represent VietHope in meetings with schools, partners, or government agencies when assigned.

- Support the organization of signing ceremonies, communications activities, and program promotion events to expand the reach and visibility of VietHope programs.

4. Other Assigned Tasks

- Undertake other program-related tasks as delegated by the Program Director.

- Assist in preparing content, technical materials, draft budgets, and required documentation for funding proposals or program scaling initiatives.

- When assigned, support the Program Director in reporting and presenting program information to the Executive Director, Board of Directors, or strategic partners.

QUALIFICATIONS

1. Education & Experience

- Bachelor’s degree in any field.

- Minimum 1 year of relevant experience in project coordination, program implementation, education, or administration.

- Preferred: Experience working with students, volunteers, or collaborating with diverse community organizations/schools.

2. Core Competencies & Skills

- Strong self-motivation and proactive work ethic.

- Critical thinking, data-driven decision-making.

- Professional communication (written & verbal Vietnamese & English).

- Ability to coordinate multiple & multigenerational stakeholders
