We are seeking a proactive and organized Administrative Assistant to support our growing remote team.

Position Overview

The Administrative Assistant will provide comprehensive administrative and clerical support to the attorneys and staff of Fenol Jr Law. This role is ideal for someone who is highly organized, tech-savvy, and comfortable working independently in a remote environment. The position requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities

Manage daily administrative operations, including scheduling, email correspondence, and document management.

Prepare, format, and proofread legal documents, letters, and forms.

Maintain digital filing systems and ensure all case files are up to date.

Coordinate client communications, including scheduling calls and responding to inquiries.

Assist with billing, invoicing, and expense tracking.

Support the attorney with calendar management, court deadlines, and meeting logistics.

Handle confidential information with the highest level of discretion.

Perform general office duties as needed to support smooth firm operations.

Qualifications

Required:

Proven experience as an administrative assistant, legal assistant, or similar role (preferably in a law firm or professional services environment).

Strong organizational and multitasking skills.

Excellent written and verbal communication skills.

Proficiency with Microsoft Office Suite, Google Workspace, and PDF management tools.

Comfort with case management or CRM systems (e.g., Clio, MyCase, PracticePanther) — training available if needed.

Reliable internet connection and ability to work independently in a remote setting.

Preferred:

Experience handling legal documents and court filing systems.

Knowledge of billing procedures and client communication best practices.

Associate’s or Bachelor’s degree in business administration, legal studies, or a related field.

Work Hours & Compensation

Schedule: Flexible, with core availability during standard business hours (Eastern Time preferred).

Compensation: Competitive hourly rate or salary commensurate with experience.
