This is an in-office position based at our Miami, FL headquarters. The Mailroom / Postal Room Supervisor must be on-site daily to oversee staff, mail processes, and vendor interactions. Remote work is not offered for this role.

Bi-lingual skill set in Spanish is highly desirable.

SCOPE:

We are seeking an experienced Mailroom / Postal Room Supervisor to lead and oversee the daily operations of our corporate mail center. This position plays a critical role in ensuring all incoming and outgoing mail is processed accurately, securely, and on schedule. The ideal candidate will bring strong leadership, organizational, and quality assurance skills, with experience in postal compliance and document handling - ideally within the insurance industry or a similar regulated environment.

KEY RESPONSIBILITES:

Supervise and coordinate all incoming and outgoing mail operations (USPS, FedEx, UPS, and courier deliveries).

Oversee the preparation, processing, and quality control of all outgoing mail pieces, ensuring accuracy, completeness, and adherence to company and postal standards.

Ensure compliance with USPS regulations and manage all proof of mailing documentation, including PS Form 3877s, certified mail logs, and tracking reports.

Act as the primary point of contact for the mailroom - communicating effectively with internal departments, external vendors, and postal representatives.

Monitor and maintain service-level timelines for expedited and regular mailings.

Implement and enforce quality assurance protocols for high-volume and sensitive mailings (e.g., policy documents, notices, claims correspondence).

Manage and train mailroom staff, providing coaching, direction, and support to promote teamwork and accountability.

Maintain accurate records of shipments, postage expenses, and mailroom metrics for reporting and auditing purposes.

Partner with IT and print production teams to troubleshoot mailing or data issues.

Ensure proper maintenance and operation of mailroom equipment (folders, inserters, meters, scanners, etc.).

Identify and recommend process improvements for efficiency, cost control, and compliance.

SKILLS & EXPERIENCE:

5+ years of experience in mailroom or postal operations; 3+ year in a supervisory or lead role preferred.

Working knowledge of USPS mailing standards, FedEx/UPS shipping platforms, and postal documentation procedures.

Experience with proof of mailing processes, certified mail, and tracking systems.

Strong attention to detail and commitment to quality control.

Excellent communication, leadership, and problem-solving skills.

Ability to manage multiple priorities in a fast-paced environment.

Proficiency in Microsoft Office (Excel, Outlook, Word); experience with print/mail automation systems a plus.

Insurance industry experience or knowledge of regulated document handling is highly desirable.

High School Diploma or GED
