New Riff Distilling, founded in 2014, is an independently owned Kentucky Bourbon Distillery.
New Riff Distilling is seeking an organized and proactive Executive Assistant to support the Chief Sales Officer (CSO) in managing the overall sales strategy.
The ideal candidate will provide essential administrative support and assist with day-to-day operations, allowing the CSO to focus on driving growth and managing relationships across the company’s distribution and direct-to-consumer channels.
This is a full-time, Hybrid salaried position, generally working 40-45 hours per week, Monday-Friday.

This role does not require experience in the spirits industry but calls for a highly organized individual who can manage multiple priorities and handle confidential information with discretion.
Administrative Support Manage the CSO’s calendar, schedule meetings, and prepare documents, presentations, and expense reports to facilitate efficient time management and workflow.
Manage the CSO’s task list and supporting files for tasks Prepare agendas, organize materials, and coordinate logistics for meetings with internal teams and external partners.
Document & File Management Organize, maintain, and update digital and physical files to ensure quick and easy access to important information, enhancing office efficiency.
Expense Tracking & Budget Assistance Assist with managing expense reports and tracking budgets related to the CSO\'s projects and travel.
Prepare and submit financial reports on behalf of the CSO to ensure accurate budgeting and compliance.
Task & Project Tracking Assist in organizing and tracking tasks, deadlines, and projects to ensure that key initiatives are on schedule and aligned with company goals.
Utilize project management tools to facilitate collaboration and transparency across teams.
Travel Coordination Arrange travel itineraries, including flights, accommodations, and ground transportation, to ensure smooth travel experiences for the CSO.
Prepare detailed travel itineraries and handle any changes or issues that arise during travel.
Serve as a point of contact for external partners, accounts, and distributors, ensuring professional communication and relationship management.
Communicate regularly with a wide range of staff, customers, board members, and partners via phone, email, and paper correspondence, ensuring professionalism and clarity in all interactions.
Draft and proofread correspondence and documentation to maintain high standards of communication.
Work independently with minimal supervision, solving problems and reacting to urgent situations with appropriate levels of urgency.
Handle a wide variety of daily tasks, from preparing conference rooms and outside communication to independent research projects.
Embrace new challenges and opportunities as they arise, contributing to the overall effectiveness of the CSO’s office.
Implement best practices for data protection and confidentiality in all aspects of work.
3-5 years of experience in an administrative or executive assistant role.
~ Exceptional organizational skills with the ability to manage multiple projects and priorities simultaneously.
~ Expert proficiency in Google Suite of Apps – Calendar, Gmail, Drive.
~ Proficient in basic math and Microsoft Excel – ability to build basic tables, functions, and charts, and understand percentages and visual presentation of data.
~ Ability to handle confidential information with integrity and discretion.
Prior experience supporting senior executives in a dynamic, fast-paced environment.
Organizational Efficiency: The Executive Assistant plays a crucial role in maintaining organizational efficiency, ensuring that the CSO\'s office operates smoothly and effectively.
Strong communication skills are essential for this role, as the Executive Assistant serves as a key point of contact for various stakeholders.
Problem-Solving Capability: The ability to work independently and solve problems proactively is vital, allowing the Executive Assistant to navigate challenges effectively.
