About the Role

We are seeking a highly motivated and detail-oriented HR Operations Specialist to join our GBS NAMEUR Front Office team. This role is pivotal in delivering exceptional front-line HR support across multiple channels, ensuring timely and accurate resolution of employee inquiries, coordination of HR transactions, and maintenance of HR documentation.

The ideal candidate is customer-focused, tech-savvy, and experienced in HR systems like ServiceNow and Workday. A strong background in background screening, onboarding, and HR system enhancements is highly desirable.

Key Responsibilities

Employee Support & Issue Resolution

Serve as the first point of contact for HR-related inquiries via ServiceNow, email, phone, messaging platforms, and in-person.

Provide accurate and timely guidance on HR policies, processes, and systems.

Escalate complex issues to subject matter experts (SMEs), regional/global HR teams, or Centers of Excellence (COEs) as needed.

System Usage & Case Management

Manage HR tickets and workflows in ServiceNow, ensuring SLA compliance and accurate documentation.

Monitor and support transactions in Workday and other HR platforms.

Maintain audit-ready case records and contribute to knowledge-sharing initiatives.

HR Transactions & Documentation

Process employee and manager-initiated HR requests (e.g., job changes, supervisor updates).

Prepare and issue employment-related documents (e.g., COEs, visa, and guarantee letters).

Validate and route HR forms for downstream processing and ensure timely follow-up.

Coordinate broadcast email requests and manage internal HR content on SharePoint Online.

Maintain 201 file documentation in compliance with records management standards.

Support onboarding, I-9 verification, and background screening in collaboration with global SMEs and vendors.

Knowledge Management & Continuous Improvement

Maintain and update internal documentation, FAQs, and knowledgebase articles.

Track individual KPIs and contribute to team performance metrics.

Participate in UAT and system/process improvement initiatives (e.g., ServiceNow and Workday enhancements).

Collaborate with global and regional teams to ensure process alignment and documentation consistency.

Qualifications

Education & Experience

Bachelor’s degree required.

0–2 years of experience in HR or HR Shared Services; semiconductor industry experience is a plus.

Technical & Functional Skills

Proficiency in Microsoft Office applications.

Working knowledge of Workday, ServiceNow, onboarding, background screening, and I-9 processes.

Experience with SharePoint Online is an advantage.

Behavioral Competencies

Ability to work independently and collaboratively in a fast-paced environment.

Comfortable engaging with HR Business Partners and cross-functional stakeholders.

Highly organized with strong attention to detail and time management skills.
