Overview

We are seeking a detail-oriented and analytical Accounting Specialist to join our team. This role is ideal for someone who understands the full accounting cycle, with a particular focus on accounts payable (AP), and accounts receivable (AR). The successful candidate will play a critical role in ensuring financial accuracy, supporting project cost tracking, and maintaining efficient accounting operations.

Key Responsibilities

Accounts Payable (AP)

Process vendor invoices, ensuring accuracy, coding, and appropriate approvals.

Match purchase orders and receiving documents to invoices.

Manage payment runs, ensuring timely disbursements while optimizing cash flow.

Reconcile vendor statements and resolve discrepancies promptly.

Accounts Receivable (AR)

Prepare and issue customer invoices based on project milestones or completed work.

Record and apply customer payments accurately.

Monitor aging reports, follow up on overdue balances, and support collection efforts.

Maintain accurate customer account records and ensure compliance with contract terms.

Provide Preliminary information to vendors upon request.

General Accounting & Reporting

Assist in month-end closing processes including journal entries, reconciliations, and accruals.

Support preparation of financial statements, job cost reports, and management dashboards.

Collaborate with internal teams to improve accounting processes and automation.

Maintain organized financial documentation for audit readiness.

Qualifications

5+ years of accounting experience, preferably in construction, contracting, or project-based industries.

Strong understanding of job cost accounting principles and the relationship between operational activities and financial outcomes.

Proficiency with accounting software (e.g., QuickBooks, Sage, Foundation, Viewpoint, or similar).

Strong Excel and data analysis skills; experience with ERP or reporting tools is an asset.

Detail-oriented, highly organized, and capable of managing multiple priorities.

Excellent communication and collaboration skills.

Preferred

Experience with AP/AR automation tools or job cost reporting dashboards.

Familiarity with progress billing, retention, and construction contract terms (AIA, T&M, fixed-price).

Understanding of preliminary notices, lien releases, subcontractor compliance, and project management workflows.

Experience with Vista by Viewpoint
