Description
We are seeking a motivated, proactive, and detail-oriented Operations & Accounting Assistant to perform a variety of administrative, data entry, and document management tasks. This is an entry-level position ideal for a recent graduate or someone looking to start their career in accounting or office operations.
We are looking for a quick learner, go-getter, and eager to take on new challenges. The ideal candidate will be a team player, dependable, and consistent, showing up on time and completing tasks reliably. This is an in-office position only, candidate must live within commuting distance of Laurens, SC.
Responsibilities
Vendor Maintenance: request and track W-9 forms and Certificates of Insurance (COIs) from vendors, and scan, properly name, and upload vendor documentation to the appropriate systems, including QuickBooks.
Document Management: scan and electronically name and file a variety of documents-including invoices, contracts, and internal forms-while maintaining organized paper and electronic filing systems.
Accounting Support (Basic QuickBooks Tasks): attach supporting documents and entering or updating purchase orders in QuickBooks, assisting with management of the Accounts Payable (AP) email inbox (training provided), and helping to ensure accurate and timely data entry and document handling.
Front Desk Support: provide shared front desk coverage alongside the AP Specialist, including greeting visitors, answering phones, and assisting with general office coordination as needed.
General Operations Support: Assist with ad hoc projects and operational tasks as assigned by the team, and support cross-functional departments as needed during peak periods or special initiatives.
Requirements
High school diploma or equivalent required
Strong computer skills and working knowledge of Microsoft Office (especially Outlook, Word, and Excel)
Basic familiarity with QuickBooks is a plus (not required - will train)
Comfortable using office equipment (scanner, printer, phone system)
Strong organizational and time management skills
Excellent attention to detail and accuracy
Able to take initiative and work independently after training
Friendly, professional communication skills (verbal and written)
