Hire Desk Coordinator

Location: Aberdeen

Role Context:

This is a dynamic, fast-paced role that combines purchasing, logistics, and administrative support within a high-performing Supply Chain team. The role primarily supports the Hire desk & Logistics Lead in managing equipment requests, orders, and plant records - helping ensure operations run smoothly and efficiently.

A key part of the role involves maintaining accurate, up-to-date plant records within the MCS plant management system, in line with established internal processes and compliance standards. While experience in a hire desk, plant operation, or SME environment is beneficial, it is not essential.

We’re looking for someone with a proactive mindset and a dynamic, can-do attitude - someone who takes initiative, anticipates needs, and stays organised in a fast-moving setting. Strong time and task management, solid business acumen, and the ability to handle multiple priorities are all important. You should be confident using Microsoft Office - particularly Excel and Outlook - and have a professional, solutions-oriented communication style.

Flexibility is key, as the role may involve supporting other system-reliant tasks within the team from time to time. Full training will be provided to help the successful candidate get up to speed quickly and confidently in their new role, with ongoing support available throughout.

You’ll be:

Ensuring consistent adherence to all SES processes and procedures, maintaining high standards of compliance and operational discipline.

Sourcing hire equipment and consumables from a broad supplier network, aligning with the specific needs of both internal teams and external clients.

Analysing cost and lead time to recommend the most efficient and cost-effective solutions for the business and its clients.

Maintaining and communicating a forward-looking schedule to internal workshops - daily, weekly, and monthly - while managing priorities across new and ongoing jobs.

Acting as a central point of coordination between clients, suppliers, and internal teams to ensure timelines are met and expectations managed.

Managing internal and external equipment hire, leveraging owned assets first and minimising cross hires wherever possible to control cost.

Organising timely delivery and collection of equipment and materials, with a focus on logistics efficiency and cost management.

Using the MCS-rm system proficiently raising contracts and purchase orders, processing goods in/out, and checking fleet availability.

Coordinating equipment recertification and ensure systems are kept accurate and up to date.

Supporting the onboarding and upskilling of colleagues by training new and existing team members on hire desk processes and systems.

Managing a high-volume workload, including sourcing at short notice, while maintaining attention to detail and delivery timelines.

Keeping clients informed of any delivery issues or delays, providing clear updates through to resolution.

Actively contributing to strengthening SES’s safety culture through everyday actions and continuous improvement mindset.

You’ll have:

Essential:

Strong time and task management skills with the ability to prioritise effectively in a fast-paced environment.

Proactive, dynamic, and solutions-focused approach - comfortable taking ownership and working with minimal supervision.

Professional communication skills, with confidence liaising across internal teams, suppliers, and clients.

Solid business acumen and a practical understanding of operational processes.

Proficiency in Microsoft Office, particularly Excel and Outlook.

Ability to manage multiple competing demands while maintaining attention to detail.

Willingness to learn and adapt - training will be provided to support a successful transition into the role.

Desirable:

Minimum of 3 years' relevant experience in logistics, supply chain, operations, or a similar function.

Minimum bachelor’s degree in business, logistics, supply chain management, or a related discipline.

Experience within the energy sector, with a good understanding of key clients, suppliers, and industry-specific dynamics.

Background in a small to medium-sized enterprise (SME) environment.

Previous exposure to hire desk environments or plant/equipment coordination.

Familiarity with MCS or similar plant management systems.

Operational Requirements:

This is a full-time role based at the SES Warehouse, Minto Drive, Altens Industrial Estate, Aberdeen.

Standard hours are Monday to Friday, 8:00am to 4:30pm (40 hours per week).

For the first 6 months, the successful candidate is expected to be on-site full time to support onboarding, training, and team integration.

Following successful completion of the probation period, the role offers hybrid flexibility, with a minimum of 3 days per week in the office and the option to work remotely for the remaining 2 days, subject to team and operational needs.
