Marketing & Operations Assistant
Location: 100% Remote
Type of Contract: Independent Contractor Agreement
Compensation: USD 1,200 – 1,800 per month, based on experience
We are seeking a motivated, detail-oriented, and professional Marketing & Operations Assistant to support the day-to-day activities of our event marketing and innovation teams. Key Responsibilities
Marketing Support
Email Marketing:
Assist in executing event-related email marketing campaigns, including list building, campaign planning, testing, and deployment.
Maintain accurate data by tracking responses and managing contact lists within the CRM.
Ensure data integrity and a seamless audience experience throughout all campaigns.
Market Research:
Conduct research on industry trends, target accounts, and competitors.
Identify and qualify potential attendees and clients using external databases.
Event Coordination:
Support event logistics, including invitations, registration, and post-event follow-up.
Assist with event-day operations, such as managing virtual platforms and tracking attendance.
Operations Support
Scheduling & Calendar Management:
Coordinate and maintain calendars for meetings, client calls, and conferences.
Prioritize and resolve scheduling conflicts, confirm appointments, and manage communications efficiently.
Prepare meeting materials, reports, and notes in a timely and organized manner.
Administrative Assistance:
Perform general administrative tasks such as data entry, document preparation, and proofreading.
Review materials for accuracy, including agendas, client presentations, and internal documentation.
Attend or review meetings/recordings to compile and distribute concise meeting notes when required.
Process & Project Support:
Identify opportunities to improve marketing and operational workflows.
Support team use of tools such as CRM systems, project management platforms, and other marketing technologies.
Assist with special projects and cross-functional initiatives as needed.
Qualifications
Experience: 1–3 years in a professional office environment; prior experience with large-scale events or conferences is a plus.
Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint) is essential; familiarity with CRM and project management tools preferred.
Project Management: Strong attention to detail, time management, and problem-solving capabilities.
Collaboration: Proven ability to work effectively via email, phone, and video conferencing with both internal and external partners.
Adaptability: Comfortable in a dynamic, entrepreneurial environment with a proactive and growth-oriented mindset.
Critical Thinking: Strong analytical and conceptual skills, with the ability to connect insights across multiple business areas.
