Job Summary:

The Rental Property Maintenance Manager is responsible for overseeing all maintenance activities within the rental property portfolio, ensuring that properties are well-maintained, safe, and conducive to tenant satisfaction. This position plays a crucial role in managing property turnover, overseeing remodels, maintaining stock of parts, and leading a team of maintenance staff and contractors—while focusing on driving down costs for the company.

Key Responsibilities:

1. Maintenance Oversight

Coordinate and supervise day-to-day maintenance operations for residential and commercial properties, ensuring compliance with safety and regulatory standards.

Conduct routine inspections of properties to identify maintenance and repair needs.

2. Turnover Management

Manage the turnover process for vacant units, including scheduling and supervising necessary repairs and cleaning.

Ensure timely completion of all turnover work to minimize vacancy periods.

Collaborate with property management to prepare units for new tenants, including painting, carpeting, and repairs.

3. Remodeling Projects

Oversee and manage remodeling projects, including updates and renovations to residential and commercial units.

Coordinate with contractors, vendors, and subcontractors for remodeling and repairs.

Develop budgets and timelines for remodeling projects, ensuring adherence to both.

4. Inventory Management

Maintain an adequate stock of maintenance parts and supplies for the portfolio.

Monitor inventory levels, place orders, and manage vendor relationships to ensure prompt delivery of materials.

Keep accurate records of inventory usage and costs to support budget management.

5. Cost Management

Analyze maintenance processes and project budgets to identify areas for cost reduction and increased efficiency.

Implement cost-saving initiatives that do not compromise quality or safety.

Negotiate contracts with vendors and suppliers to secure the best possible pricing and terms.

Produce regular reports on maintenance expenses and provide recommendations for improvement.

6. Team Management

Lead and train maintenance staff, fostering a culture of teamwork and accountability.

Create work schedules and allocate resources effectively to meet property maintenance needs.

Conduct performance evaluations and provide ongoing training for maintenance personnel.

7. Vendor Management

Source and maintain relationships with vendors and contractors for specialized repairs, maintenance, and remodeling projects.

Negotiate contracts and monitor vendor performance to ensure high-quality service and cost-effectiveness.

8. Administrative Duties

Maintain accurate records of work orders, maintenance schedules, and inventory.

Prepare reports on maintenance activities and property conditions for management.

9. Tenant Communication

Act as the point of contact for tenants regarding maintenance requests and issues.

Address tenant concerns promptly and professionally to enhance satisfaction.

10. Emergency Response

Be available for on-call emergency maintenance needs and issues outside of regular business hours.

Manage scheduling and operations of the 24/7 maintenance team working under you.

Qualifications:

High school diploma or equivalent; Associate’s or Bachelor’s degree in a related field preferred.

15+ years of experience in property maintenance, construction management, or a related field, with a focus on residential properties.

Proven experience managing turnover processes and remodeling projects.

Strong knowledge of plumbing, electrical, HVAC, and general maintenance practices.

Ability to supervise and motivate a team; strong communication and interpersonal skills.

Proficient in MS Office, Google Drive, and the property management software-AppFolio.

Valid driver’s license and reliable transportation.

Working Conditions:

Typical office environment with periodic outdoor work and physical activity.

Must be available for on-call emergencies as needed.
