The College of Nursing Administrative Assistant is responsible for day-to-day administrative activities and supports various requests and other duties as assigned on an as-needed basis. Has the responsibility of upholding sensitive and confidential information and assures compliance with policies and procedures.
The Administrative Assistant is responsible for calendar management, coordination of events, travel, event planning, communication, recruitment, and onboarding assistance, assisting in and/or coordinating visiting lectures and faculty recruitment initiatives, projects, miscellaneous tasks, LAMP survey tool, website updates and other administrative duties as needed. Administrative Assistant is responsible for providing back-up and cross-coverage support to other administrative assistants and documents detailed processes related to the role and creates cross-training materials to facilitate back-up and cross-coverage capabilities. Serves as manager liaison to initiate HR related items such as compensation, requisitions, etc. for HR’s review and approval.
The Administrative Assistant provides support to College of Nursing directors, faculty, and staff, with various tasks including purchasing and travel requests; initiates spend authorizations and expense reports in Workday and submits supporting documents accurately to complete transactions and resolve issues efficiently; monitors transaction status for all open requisitions and escalates transactions; sets up vendors in Workday, orders equipment and supplies for events and conferences as needed; provides budgetary support and maintains fiscal record keeping. May also provide social media support.
The Administrative Assistant provides support to various college committees, maintains agendas, records, and distributes minutes.
The Administrative Assistant provides support with college initiated events (reserves room/venue, develops and distributes invitations, collects RSVPs, orders and facilitates meal plans, etc.); initiates and responds to requests as needed, distributes mail and restocks printers with toner and paper as needed; unlocks offices, and conference rooms upon request from authorized colleagues.

High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred.
