The opportunity

Provide high-level administrative & operational support to IMT leaders & teams.

Coordinate activities, projects & documentation to support efficient delivery.

Contribute to the smooth operation of IT, cyber security & technology functions across CSIRO

The Program Support Officer within CSIRO’s Information Management & Technology (IMT) team provides vital administrative and operational support to the Deputy Directors, Chief Information Security Officer (CISO) and their teams. Supporting areas such as Applications and Information Management, IT Services, the Office of the Chief Technology Officer and Cyber Security, the role contributes to the effective operation of CSIRO’s national science and technology capabilities.

You'll play a key part in ensuring the smooth coordination of activities, projects and services that enable IMT to deliver outcomes efficiently across the organisation. As you will be involved a broad range of responsibilities, including scheduling, documentation, and executive support, requiring excellent communication, problem-solving and multitasking skills.

Your duties will include:

Coordinate and support IMT group meetings by providing

Scheduling

Event organisation

Assisting with agenda and document preparation as required

Recording and distributing meeting actions

Assisting with project and program administration and support as required, including

SharePoint set up and management

Supporting audit and survey requirements

Managing IMT channels including SharePoint sites, Teams chats, and meetings for

delegate access

Provide leave coverage for colleagues, or contribute to IMT or CSIRO initiatives as required

Develop and maintain documentation to support the objectives and output of the program

and group area.

Develop and maintain work instructions for all processes undertaken in your work area.

Maintain CIO Office group inbox and calendar

Ensuring all key dates and deadlines are recorded

CIO, CISO, Deputy Director and team travel/leave is recorded

Manage group and program meetings

Location: Open to all Australian capital cities with CSIRO site

Salary: AU$96,811 - AU$109,527 plus up to 15.4% superannuation

Tenure: Indefinite

To be considered you will need:

Relevant qualifications and/or 3+ years' experience supporting executive staff

Highly proficient in MS Office 365, Teams and SharePoint developing reports and presentations

Strong communication skills (via phone, video, email and in-person)

Excellent organizational and time management skills with an ability to think proactively take initiative and prioritize work in a high-volume environment.

Highly developed analytical and problem-solving skills with the capacity to work through issues and identify solutions.

Ability to work independently while also being a willing and active contributor to the team.

Ability to take initiative and find innovative solutions
