Hilton Marco Island Resort and Spa is currently seeking a dynamic Accounting Clerk to join the best team on Marco Island!

POSITION PURPOSE:

To process accounts payable transactions insuring invoice accuracy, management approval and payment with in vendor terms incorporating any favorable payment discount. Responsible for timely and accurate processing of invoices and maintain positive vendor relations.

ESSENTIAL FUNCTIONS

Prepare & enter invoices in to Nexus. Verify pricing to purchase orders and invoice accuracy. Input invoice information into computerized accounts payable system using batch processing verifying input to batch totals to maintain input integrity daily. Review invoice coding, vendor ID, invoice date, invoice number for accuracy. Enter all invoices received daily.

Reconcile vendor statements (paper generated/ online accounts) daily and research discrepancies resolving variances with vendors and department managers within 24 hours.

Review’s vendor billing activity and forward invoices to respective departments for approval processing.

Participate in month end closing process meeting monthly deadlines set. Prepaids, accruals, etc…

Weekly self-audits ensuring that all Olshan Properties procedures are met within your areas

Assist/ cover hotel cashier in their absence.

File current audit packs daily ensuring that all signatures are accounted for before filing.

OTHER:

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel which may include holidays and weekends. The Accounts Payable Clerk is required to work the last day and first day of each month. Vacation time must be scheduled around those dates. Vacation requests more than one week at a time may not be granted due to the nature of the hospitality industry.

All employees are required to comply fully with the rules and standards set forth by Hilton Marco Island Beach Resort & Spa, Olshan Properties and Hilton Hotels Corporation.

SUPPORTIVE FUNCTIONS:

In addition to performance of the essential functions, this position may be required to perform a combination of supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the hotel. This may include accounts receivables (Billing, guest disputes, check logs, chargebacks) and cashiering (daily deposits, bank audits, issuing due backs, petty cash).

SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY

The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential function of the job, with or without reasonable accommodation, using some other combination of skills and abilities.

Comprehensive understanding of computerized accounts payable system.

Intermediate accounting skill level in order to understand complex systems to include reading a general ledger, proper posting to accounts, etc.

Technical knowledge of industry accepted accounting principles and internal controls.

Organizational skills for maintaining detailed file system and high volume processing.

Able to communicate effectively with department managers and vendors

Able to analyze transactions and resolve discrepancies.

Considerable mathematical skills (addition, subtraction, multiplication, and division) to accurately calculate balances, percentages, costs, etc.

General understanding of hotel operational activity and expenditure process.

Able to analyze transactions and resolve discrepancies.

Able to set priorities, plan, organize, and accomplish tasks in a timely manner often under strict deadlines.

Able to read, write, hear, speak, and understand English to communicate with management, staff, and vendors. Good written communication skills to be concise, well organized, complete, clear in order to create complex reports and communicate with the public, staff and management.

Able to apply technical knowledge of federal and state tax regulations to practical situations within the hospitality industry.

Able to move throughout premise and visually inspect conditions requiring bending, stooping and reaching arms overhead.

Able to climb stairs.

Able to remain calm in emergency situations and to effectively work with the internal and external guests, some of whom require patience, tact, and diplomacy to defuse anger, and provide positive and proactive solutions.

Able to remain stationary (sitting or standing) and concentrate on tasks for long periods of time often in a high volume high-pressure area.

Able to use finger/hand movements (requiring fine motor skills) for long periods of time. Finger and hand dexterity to manipulate switches, writing instruments, a computer keyboard, etc.

Able to lift, up to shoulder height, up to 25 lbs.

QUALIFICATION STANDARDS

Education:

High school diploma with some college courses in hotel management or accounting.

Experience:

6 months to one-year accounts payable or general bookkeeping experience in a computerized environment, high volume, luxury resort.

Licenses or certificates:

Ability to obtain any required licenses or certificates.

Other:

Additional language preferred.
