Position Summary
The Dispatcher is responsible for coordinating and overseeing the manpower and equipment required to ensure efficient and timely freight delivery. This role involves monitoring load readiness, scheduling deliveries, and maintaining open communication among distribution centers, receiving locations, and drivers. The Dispatcher also assists with driver compliance, safety recordkeeping, and administrative support related to orientation and training.
Key Responsibilities
Dispatch & Coordination
Monitor delivery progress and maintain communication with drivers to ensure on-time performance.
Provide delivery status updates and estimated arrival times to receiving locations.
Use company software to record and update load progress in real time.
Oversee arrival and departure schedules for contractors and drivers.
Prepare routing and delivery instructions for third-party carriers and provide in-person orientations as needed.
Coordinate road service or towing when breakdowns occur and arrange replacement units to complete deliveries.
Collaborate with Load Planners to efficiently integrate backhauls into daily operations.
Monitoring & Reporting
Track truck and trailer locations using computerized tracking systems.
Monitor refrigerated trailer temperatures, fuel levels, and alarm codes.
Utilize internet-based applications for mapping, route planning, and distance/time calculations.
Prepare and maintain required operational reports, including daily, status, inbound, and weather reports.
Driver & Safety Support
Serve as a primary contact for drivers and independent contractors, assisting with compliance questions and documentation.
Audit paper and electronic driver logs to ensure regulatory compliance.
Maintain and update driver qualification, safety, and training records.
Support the onboarding process by verifying required documentation and routing complex inquiries to appropriate personnel.
Provide administrative assistance to the Safety Manager and terminal leadership as needed.
Administrative & Customer Relations
Respond promptly and professionally to customer inquiries and directives.
Foster positive relationships with drivers and independent contractors promoting engagement and satisfaction.
Accurately complete all required reports and documentation.
Maintain an organized, safe, and professional work environment.
Perform other related duties as assigned.
Education & Experience Requirements
High school diploma or GED required.
2–3 years of experience in distribution, transportation, or a related field; or an equivalent combination of education and experience.

Physical Demands & Work Environment
Work is primarily performed in a sedentary office environment, with occasional requirements to lift or move up to 25 lbs. The role involves regular sitting with occasional walking or standing.
