Schedule: Full-time

The Administrative Professional 2 is a key role at the Commission. In this position, you will be responsible for:

Answering telephones, taking messages, referring calls, greeting visitors, and receiving and processing mail.

Responding to questions from the general public and other government agencies by telephone, letter, or in person, such as explaining Commission procedures.

Maintaining accurate records and filing systems, including entering and retrieving information, maintaining and updating databases, and handling records and evidence for case files, while performing data entry.

Preparing dockets and indexes by compiling, organizing, and printing docket information, reviewing permit holder history, and summarizing information on dockets.

Assisting in the creation of case files and filing documents in case files, including the receipt of certified mail, motions, filings, and evidence.

Assisting in processing continuance notices and notifying parties and witnesses of continuances through typing, copying, and mailing.

Regularly updating the Commission website with continuances and posting of notices and indexes, and processing subpoena requests.

Assisting with certified mailings, reserving and preparing rooms for hearings.

Assisting in registering attorneys, permit holders, law enforcement, and other witnesses, and briefing principals on hearing procedures.

Scheduling and obtaining bids for court reporters while collecting data for public hearings.

Reviewing records retention schedules and processing files for archives or shredding according to the agency's retention schedule.

Processing travel expenditures by creating and modifying expense reports and travel authorizations.

Handling checks, invoices, vouchers, witness fees, sheriff writs, and other documentation, and submitting them for review and approval.

Verifying invoice accuracy by matching purchasing and receiving documents and tracking payments.

Acting as a payment card (p-card) holder and maintaining reconciliation spreadsheets.

Entering and maintaining asset inventory in OAKS, including annual certification.

Managing office equipment and supplies, including ordering, tracking, and arranging repairs.

Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.

Or 18 months experience or 18 months training in secretarial/administrative professional field.

Or 6 months experience as Administrative Professional 1 (State of Ohio job code 16871)

Or Equivalent of Minimum Class Qualifications For Employment noted above.
